General Description of the Job Class

The Surgery Scheduler is responsible for coordinating all perioperative activities related to scheduling surgical procedures. This role involves direct communication with patients, physicians, and healthcare staff to ensure seamless scheduling and preparation for surgeries.

 

Duties and Responsibilities of this Level

Surgical Case Management: Review surgical postings to ensure accuracy, including correct patient, procedure, diagnosis, and surgical site.

Review incoming referrals received, enter referral and order into system, and coordinate scheduling in the appropriate template depending on reason for procedure.

Address discrepancies or missing information with providers before scheduling.

Schedule surgeries in Epic or other scheduling systems, coordinating with hospitals and surgical centers to secure operating room times.

Manage complex pre-operative and post-operative patient appointments, including related ancillary and diagnostic services, clearances and follow-ups.

Patient Communication: Provide patients with detailed instructions regarding pre-operative and post-operative care.

Respond promptly to patient inquiries, addressing concerns and providing reassurance throughout the surgical process. Deliver verbal and written confirmation of surgery dates and related appointments.

Insurance and Billing: Verify insurance benefits and obtain prior authorizations for procedures requiring approval if required.

Notify patients of out-of-pocket costs and guide them through financial responsibilities.

Submit billing sheets daily for coding of surgeries.

Coordination and Documentation: Record and manage the surgical schedule for staff and providers.

Ensure all required documentation, including medical clearances and lab results, is collected and accurately logged.

Work closely with anesthesia and other specialists to coordinate patient needs.

Other clinic duties as assigned.

 

Required Qualifications at this Level

Education:

A high school diploma or equivalent is required. Associate's degree preferred.

 

Experience:

Two years of experience in a clinical setting or in a coding/billing setting. An associate degree or higher may substitute for the experience requirement. Prior experience on Epic preferred.

 

Degrees, Licensure, and/or Certification:

N/A

 

Knowledge, Skills, and Abilities:

Ability to deal tactfully and courteously with internal and external customers.

Ability to follow through on details of a project through completion.

Ability to organize and set priorities.

Knowledge of medical terminology.

Knowledge of CPT and ICD coding preferred.
