General Description of the Job Class

Coordinate and participate in a variety of clerical duties involved in maintaining inventory records and associated accounts to ensure accurate records of stock on hand, proper payment to vendors for materials received and accuracy of assigned asset accounts.

Duties and Responsibilities of this Level

Reorder standing order stock items in accordance with established minimum and maximum stock levels, projected usage and estimated date of delivery.

Verify receipt of stock ordered reconciling any discrepancies on invoices with vendors; compute unit prices for stock received and record all receipt and pricing information on inventory record cards.

Write issue tickets when required; record stock issued from stock issue tickets on inventory record cards and record stock issue ticket information into log book; prepare batch headers of stock issue tickets for data conversion.

Compare stock issue edit listings with log book to verify that departments are charged accurately for stock issued.

Compare detailed financial statements of assigned asset accounts with computer generated edit listings to verify status of accounts and accuracy of amount paid to vendors.

Prepare monthly reports comparing established minimum and maximum stock levels to actual usage. Reconcile inventory record cards with stock on hand annually and periodically, making appropriate adjustments for loss and gain of actual inventory.

Type new inventory record cards, answer telephone, take messages, transfer calls, route and reroute mail.

Assist in the training of new personnel. Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education

Work requires knowledge of basic mathematical and clerical principles normally acquired through a high school education.

Experience

Work requires one year of clerical accounting or related experience to acquire a practical knowledge of inventory transactions and record keeping requirements and techniques.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
