General Description of the Job Class

Coordinate and participate in receiving, storing, distributing and record keeping activities for assigned Duke University Hospital inpatient and/or support units to ensure adequate inventory of required patient care and office supplies, materials and equipment.

Duties and Responsibilities of this Level:

Order, receive, store, inventory and issue a variety of supplies, materials and equipment for assigned inpatient and support units in accordance with established policies and procedures; prepare and maintain related records.

Assist with the establishment and maintenance of materials standards for assigned units; recommend and implement revisions to exchange cart distribution system standards to ensure adequate inventory of patient care supplies and materials.

Receive and unpack bulk and special orders and verify contents against purchase orders; notify administrator concerning shortages and damaged materials received and take appropriate corrective action.

Maintain interface with administrative and professional staff and with the Materials Management Office and storeroom personnel to coordinate supply activities and to resolve problems; inform appropriate personnel concerning availability of products and suggest alternative products as required. Assist in the purchase, receiving, storing and distribution of capital equipment. Review monthly financial statements and monitor, verify and reconcile expenditure of budgeted funds for materials, supplies and equipment.

Prepare and maintain a variety of reports related to cost and usage of supplies for use in identifying purchasing trends, resolving problems and preparing budgetary recommendations.

Keep abreast of new products through printed information and interviews with sales representatives; assist in recommending new products for evaluation and maintain related records. Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education

Work requires the ability to ensure adequate patient care supplies and monitor, verify and reconcile expenditures of budgeted funds generally acquired through a high school education.

Experience

Three years of experience in patient care supply receiving, storing, distributing and record keeping or related activities to acquire sufficient knowledge of products.
