General Description of the Job Class

Provide exceptional operations support to enable successful execution of Supply Chain operations and technologies; including successful utilization of Pyxis technologies, perform data analysis and run reports from SAP and Pyxis. Develop, manage, coordinate and implement Supply Chain related special projects with other stakeholders. Act as a subject matter expert on Supply Chain related technologies for the entire health system.

Duties and Responsibilities of this Level

- Primary contact for managing installation and operations of Pyxis technologies, including:

> Coordinate installation of Pyxis technologies with other impacted stakeholders (e.g. information system, engineering, nurse managers, BD representatives, etc.)

> Manage Pyxis/Scrub/Linen station user accounts, including adding new users, removing users, and update user profiles

> Items management: add new items based on utilization of clinical units; delete items when indicated by usage patterns, in coordination with clinical units

> Analyze Pyxis reports on a regular basis to understand current performance, including:

--Stock-outs reports to identify items that need par levels or refill points adjusted

--Compliance reports to identify compliance issues

--Usage reports to determine par adjustments are needed

--Review the Discrepancy reports to determine root causes of high discrepancy areas

> Support management of Pyxis users, including adding new users, removing users, and update user profiles

> Provide recommendations on new items to be added and existing items to be removed to Supply Chain department

- Support and/or conduct supply chain related technology trainings to all end users (e.g. Supply Chain personnel, nursing, and etc.)

- Act as an advisor on Supply Chain technology and reporting functionalities both internally for the health system

- Perform standardized analysis from SAP and Pyxis to support Supply Chain operations

- Resolve issues resulted from faulty data flow between Pyxis and SAP (e.g. unit of measure discrepancy error between SAP and Pyxis)

- Support in building new, updating existing, and deleting obsolete inventory locations in SAP and Pyxis

- Develop, manage, coordinate and implement Supply Chain related special projects

- May rotate to different facilities to support technological and reporting functionalities of Supply Chain

- Analyze data for anomalies, trends and opportunities for improvement

- Assign EAP charge codes to new items

- Resolve work queue discrepancies in Maestro Care

- Drive systems development and process improvements

- Participate in technology projects

- Provide systems support for Scrub stations systems, Linen distribution systems, and Pyxis systems???daily function

- Provide system test documents for functional testing of new technology

- Provide monthly metrics to managers and make recommendations to improve the overall operations

- Coordinate with Corporate Data Informatics and Center of Excellence on special projects

- Adjust triggers as needed

- Develop test script protocols. Manage, coordinate and drive testing for installation of new/existing technologies and/or newly deployed areas as needed

- In-depth knowledge and application of Supply Chain Inventory Management practices

- Able to work with little or no supervision from manager

- Manage and update the Supply Chain SharePoint page and run reports weekly

- Ability to strive to improve processes to enhance services.

- Work cooperative with others to achieve organizational and team goals.

- Ability to contribute in creating new ideas and problem solving.

- Possess a sense of urgency and a proactive customer service philosophy

Additional responsibilities include: Meet regularly with staff and provide direction for daily tasks. Evaluate staff performance and provide input regarding, hiring and related personnel actions as needed. Meet with supply chain leadership and customers to resolve issues.

Establish and maintain effective working relationships with clinical staff and external customers to promote efficient patient care. General ability and willingness to perform additional job functions (within reason) that are necessary to ensure safe patient care practices as directed by supply chain management. Are required to be cross- trained and perform, when needed, in other Supply Chain related responsibilities.

Working at Duke University Health System requires the ability to work cooperatively and communicate well with others to achieve organizational and team goals, to work with professional manner in responding to customers' needs and ability to work in a computerized environment.

Physical Requirements: Must have the ability to exert 20 to 50 pounds of force occasionally, and or 10 to 25 pounds of force frequently, and up to 10 pounds of force constantly to move objects. In this particular job the exertional requirements to push/pull the unloaded and loaded supply carts with the duty requiring up to 100 pounds of exertional force daily. Reaching, lifting, stooping and bending are frequent in daily duties.

Required Qualifications at this Level

Education

High School diploma/degree or GED required.

Bachelor's degree, Associate's degree or completion some college course level work strongly preferred, but not required.

Completion of technical certifications preferred, but not required.

Experience

Five years of experience in hospital supply chain or related setting to acquire sufficient knowledge of SAP Supply Chain capabilities, Pyxis technologies and project management skills.

Experience with supply chain technology solutions (e.g. bar code scanners, RFID and other expandable wireless products).

Intermediate to advanced skills with MS Excel, Outlook, Word, SharePoint and PowerPoint.

Degrees, Licensure, and/or Certification

Valid State Driver's license required. Completion of technical certifications preferred, but not required.

Knowledge, Skills, and Abilities

Knowledge of hospital supply chain / distribution system; experience with supplies, ordering, workflow and departmental limitations; basic computer competency; positive interpersonal communication methods; proven leadership skills.
