General Description of the Job Class

The Provider Recruitment Coordinator plays a critical role in supporting the physician and Advanced Practice Provider (APP) recruitment process across Duke University Health System (DUHS). This position is responsible for evaluating candidate qualifications, managing the interview experience, coordinating with external vendors, and driving process improvements in collaboration with recruitment and departmental leadership.

Duties and Responsibilities of this Level

Candidate Evaluation and Qualification Review

Independently evaluate physician and APP CV's for minimum qualifications, board certification, licensure, and alignment with specialty requirements.

Make recommendations to senior recruiters and hiring leaders regarding candidate advancement.

Exercise discretion in screening decisions to ensure compliance with DUHS standards and regulatory requirements.

Candidate Experience and Itinerary Oversight

Own the design and execution of physician/APP interview itineraries, ensuring candidates' schedules, departmental needs, and organizational priorities are balanced.

Oversee and resolve conflicts in scheduling with discretion, elevating only complex issues to senior leadership.

Ensure the candidate experience reflects DUHS' standards of professionalism and hospitality.

Vendor & Partner Relationship Management

Independently manage relationships with external vendors (e.g., travel agencies, relocation firms, real estate partners).

Negotiate services, resolve conflicts, and ensure fiscal accountability in alignment with departmental budgets.

Evaluate vendor performance and make recommendations to improve candidate support services.

Recruitment Strategy & Process Improvement Partner with Physician Recruiters and leadership to design and implement specialty-specific recruitment strategies.

Analyze recruitment pipeline data, identify gaps, and recommend process improvements.

Stakeholder Liaison & Consultation Serve as a liaison to physician recruitment teams, hiring departments, onboarding, credentialing, and benefits partners.

Provide consultative guidance to leaders regarding recruitment processes, candidate engagement, and timelines.

Required Qualifications at this Level

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program -OR- Two years of postsecondary education with three years of experience in Talent Acquisition or a related field.

Experience

One year of experience in Talent Acquisition or a related field.

Degrees, Licensure, and/or Certification

Knowledge, Skills, and Abilities

Understanding of physician and APP credentialing, licensure, and specialty-specific qualifications.

Ability to assess candidate qualifications and recruitment data to inform decisions and strategies.

Strong organizational skills to manage multiple candidate itineraries, vendor relationships, and recruitment initiatives.

Clear and professional verbal and written communication with candidates, vendors, and internal stakeholders.

Capable of making independent decisions regarding candidate screening and itinerary management with minimal oversight.

Ability to work cross-functionally.

Comfortable navigating changing priorities, complex schedules, and evolving recruitment needs.

Competent in using applicant tracking systems (ATS), scheduling tools, and data analysis platforms.
