General Description of the Job Class

An Operating Room Supply Coordinator is a healthcare professional who independently manages critical supply functions - from sourcing, ordering, and receiving to storage, distribution, and readiness of all surgical materials.This role ensures that operating rooms are properly stocked with instruments, equipment, and supplies required to avoid disruptions in patient care.

The role relies on advanced knowledge of surgical workflows to maintain accurate inventory levels, track clinical devices in alignment with safety and regulatory standards, and support budget stewardship through efficient resource management. By serving as the operational bridge between clinical teams and supply chain logistics, the Operating Room Supply Coordinator plays a key role in optimizing surgical efficiency, preventing delays, and enabling seamless delivery of surgical services.

Duties and Responsibilities of this Level

Inventory management: Managing and maintaining appropriate stock levels for commodity and speciality suppliesconducting cycle counts, and ensuring a cost-effective inventory. Responsible for completion of annual inventory audit.

Procurement: Ordering, receiving, and processing supplies and equipment for the OR. Managing the ordering and tracking of all implantable tissue, Leading OR vendor management activities.

Distribution: Staging supplies for upcoming surgeries and ensuring they are delivered to the correct areas.

Financial oversight: Assisting with supply budget management and ensuring the accuracy of patient charges for supplies. Responsible for the creation of bill-only purchase orders (POs) and processing of blocked invoices.

Coordination: Serving as consultative partner to surgeons and both clinical and nonclinical partners for supply needs. Liaison between Sterile Processing, and Supply Chain & Procurement to diagnose and resolve issues.

Compliance: Tracking medical devices and managing the process for recalled items.

Required Qualifications at this Level

Education

Associate degree in Surgical Technology or Supply Chain Management or a closely related field is required.

Experience

Minimum of three years in materials management, or a minimum of three years in broad OR/Surgical Services. Healthcare experience preferred. Completion of technical certifications preferred, but not required.

Knowledge, Skills, and Abilities

Knowledge of hospital supply chain / distribution system; experience with supplies, ordering, workflow and departmental limitations; basic computer competency; positive interpersonal communication methods; proven leadership skills.

Knowledge of surgical inventory requirements, supply chain processes, and strong organizational and communication skills.

Work with surgeons, nurses, sales, marketing, and supply chain to gather feedback, provide training, and align on product strategy.

Analyze OR utilization, supply usage, and product performance data to identify trends, inefficiencies, and cost-saving opportunities.

Deeply understand perioperative processes, scheduling, and supply chain to translate clinical needs into product requirements or process improvements.

Support new product introductions, manage existing portfolio (SKU rationalization, recalls), and assist in commercialization efforts.
