General Description of the Job Class

Provide overall administrative management and coordination of a variety of business related functions such as finance, budget, personnel, space and facilities planning, grant administration, maintenance and policy interpretation and dissemination.

Duties and Responsibilities of this Level

Manage and coordinate activities to include establishing and maintaining systems of accounting and billing, planning patient flow through the clinic and the utilization of clinic and ancillary facilities and manpower.

Develop and maintain a marketing program designed to provide optimal medical services; coordinate clinic laboratory activities with those occurring in other laboratories at Duke University Medical Center.

Maintain interface with divisional personnel to coordinate operational activities to ensure adequate manning, space and facilities; coordinate purchasing, maintenance and renovation activities for the division; administer a program of property management and accountability.

Determine fiscal requirements, make projections and prepare divisional budgets; monitor, verify and reconcile expenditure of budgeted funds; prepare financial statements reflecting status of programs and activities; ensure compliance with University policies and procedures.

Serve as divisional liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, grant administration and budgetary preparation and control. Supervise and coordinate work of designated employees; manage personnel activities to meet University and divisional objectives in training, equal pay, equal employment and wage and salary administration; advise on employment terms of faculty and administration of appointment procedures.

Represent department head in meetings and conferences and other affairs of an administrative nature.

Coordinate the preparation of reports and analyses to include financial reports, setting forth progress, adverse trends and appropriate recommendations or conclusions. Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education

Work requires a general business background generally equivalent to a bachelor???s degree in a business-related field.

Experience

Work requires 6 years of related business or administrative experience to acquire competence in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions.

A master's degree in a related field, such as business or health administration, may be substituted for experience on a 1:1 basis.
