General Description of the Job Class

Responsible for supervisory and administrative work in directing and coordinating the Medical Staff Services Department. Responsible for the coordination of all operational aspects of the department, including organizing and conducting programs and establishing procedures for medical staff functions.

Duties and Responsibilities of this Level

Organizes and directs a comprehensive and specialized credentialing program to assure continued accreditation by the Joint Commission on Accreditation of Healthcare Organization (JCAHO) and other regulatory organizations.

Interprets, explains and follows all regulatory guidelines, including medical staff bylaws, fair hearing plan, rules and regulations and polices.

Maintains systems to identify (and disseminate to others) medical staff members and their clinical privileges, prepares and maintains other related records and reports.

Updates and maintains systems (physician privileges, medical staff roster, Medical Staff Bylaws, etc.)

Oversees the credentialing process for physicians, allied health professionals, and other health professionals/categories specified in the Medical Staff Bylaws. Works with medical staff leadership and hospital clinical staff for the approval and ongoing review of these practitioners.

May oversee the Graduate Medical Education function which includes residents, medical students and allied professional students, including orientation, education, and IS access.

Coordinates new physician orientation. Oversees revision and publication of orientation manual as needed.

Monitors and revises credentialing and privileging forms and functions as needed to ensure consistency and in accordance with regulatory agency guidelines.

May oversee the medical staff performance improvement/peer review functions, ensuring findings are appropriately reviewed, communicated and documented.

May coordinate continuing medical education programs for the medical staff and ensure compliance with CME accreditation process. May collaborate with leadership in the planning of physician events and physician surveys.

May be responsible for Medical Staff Library.

May direct and carryout the IRB process.

May direct the gathering of information, verification of licensure, etc. and inputting of data for all referring (not on staff) physicians, dentists, chiropractors, etc. to the hospital.

Assures the ongoing development and implementation of policies and procedures that guide and support the provision of services.

Evaluates effectiveness of all Medical Staff department programs, analyzes trends and implements changes as required.

Oversees the daily operations of the Medical Staff Services department and directs the work of the Medical Staff Services department personnel. Directly responsible for all personnel actions including, but not limited to, hiring, performance appraisals, promotions, orientation, vacation schedules, maintaining payroll records and time reports.

Directly responsible for the preparation of department budget. Make budgetary recommendations and projections. Monitor, verify and reconcile expenditures of budgeted funds, compiling information reflecting expenditures, and develop cost-comparisons. Identify cost savings within the operation.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education

Bachelor's degree in business administration or a health care field is strongly preferred.

In lieu of bachelor's degree, four years relevant experience in Managed Care or Medical Staff Credentialing/Privileging (in addition to the experience requirement for the role)

Experience

Five years of experience in a Medical Staff/Managed Care credentialing office including one year of supervisory experience.

Degrees, Licensure, and/or Certification

CPMSM (Certified Professional in Medical Services Management) is required.

Knowledge, Skills, and Abilities

Considerable knowledge of medical staff services principles, methods and procedures.

Knowledge of personnel practice, techniques and supervision.

Knowledge and skill in modern office practices and administration.

Considerable knowledge of computer applications.

Ability to analyze administrative problems and make appropriate recommendations.

Ability to develop and maintain effective relationships with the medical staff and other professionals in order to engender confidence, respect and dependability.

Ability to maturely handle a variety of problems and situations, sometimes of a critical or urgent nature.

Ability to develop and implement methods and procedures for improvement of the comprehensive and specialized credentialing program.

Ability to express ideas effectively, orally and in writing.
