General Description of the Job Class

Perform administrative work directing, managing, supervising and coordinating the activities related to the distribution, shipping, receiving and processing of instruments and equipment. Also responsible for the storage, inventory control, ordering, and distribution of supplies, linen, materials and equipment throughout the hospital and satellite units

Duties and Responsibilities of this Level

Plan, organize and coordinate the collection, processing, storage and distribution of supplies, material and equipment for the hospital and satellite units.

* Determine and implement resource distribution inventory and distribution standards and procedures; establish work methods and performance standards for shipping and receiving durable medical equipment and handling reprocessing duties; work closely with nursing personnel and other department managers to establish inventory standards to meet daily operational needs. L Determine and recommend fiscal requirements of the department; prepares departmental budget to include expenses and projected revenue; monitor the expenditures of approved budgeted funds; responsible for patient charges as well as department charges for supplies, materials and equipment.

L * Responsible for all personnel actions to include interviewing and hiring, establish and coordinate orientation programs for new personnel; conduct or review performance evaluations; make work assignments; manage the preparation of work schedules and ensure appropriate staffing and adequate coverage for the department; handle disciplinary actions.

* Conduct inspections of the hospital facilities to assure uninterrupted supply flow of supplies, equipment and materials to departments and to ensure compliance with established policies, procedures, rules and regulations.

L Maintain statistical data and reports reflecting departmental activities; prepare necessary recommendations, reports and analyses reflecting status of operational activities and departmental goals and objectives.

* Responsible for the maintenance and distribution of durable medical equipment; confer with sales persons and perform evaluation of supplies, materials and equipment; coordinate the acquisition of supplies, materials and equipment with the Purchasing Department. L Communicate on a daily basis with nursing services, medical staff, critical care and surgical procedure areas.

L* Develop and collect data for the continuous quality improvement plan.

L* Evaluate and recommend information systems for Resource Distribution. L Maintain a current knowledge of software and hardware options that are available for Distribution Services.

Responsible for electronic tracking of durable medical equipment and linen.

Manage automated dispensing systems which includes supplies, materials and equipment. L* Communicate on a daily basis with nursing services, medical staff, critical care and surgical areas to assure that supplies, materials and equipment are available. L* Review department performance in relation to established goals, implementing changes to effect continual improvement in services provided; and assure compliance with all internal and external standards as well as regulatory and legal requirements. * Follow universal precautions and use personal protective equipment as required.

Required Qualifications at this Level

Education

Baccalaureate degree in health administration, public administration, business administration or health related field to include some course work in computers and business and three years of management or supervisory experience in central sterile processing services and/or materials management in a health care environment; or graduation from an accredited central services technician program and some course work in computers and business and at least three years of supervisory or management experience in a central services and/or materials management health care environment or an equivalent combination of education and experience.

Extensive knowledge of materials management practices and procedures.

Thorough knowledge of the techniques, practices and procedures used in decontamination and medical instruments, supplies and equipment.

Thorough knowledge of stock-keeping and inventory record-keeping procedures and practices.

Thorough knowledge of medical supplies, materials and equipment and the operation, maintenance and repair of such items used by the Health System.

Thorough knowledge of infection control guidelines and procedures.

Thorough knowledge of computers and computer software used in automated distribution and inventory control systems.

Considerable knowledge of modern management principles and practices.

Considerable knowledge of hospital fiscal policies and how they relate to departmental budget preparations and expenditures.

General knowledge of governmental regulations regarding the usage of decontamination of equipment and supplies.

Ability to plan, direct, coordinate and supervise the activities of a corporation department in an effective manner for maximum cooperation and efficiency.

Ability to analyze, evaluate and make recommendations for needs, improvements and maximum productivity of the department. Ability to conduct product research and evaluation and to determine utilization and economic feasibility.

Ability to react to daily operational problems presented by hospital personnel.

Ability to establish and maintain effective, cooperative working relationships with corporation administration, medical staff, employees and the general public.
