General Description of the Job Class

Duke Health is seeking an accomplished and strategic Executive Recruitment Coordinator to join our team. This critical role is responsible for orchestrating the end-to-end executive search lifecycle, ensuring operational excellence and superior experience for senior-level candidates, interviewers, and organizational leaders. The ideal candidate will demonstrate executive presence, project management capabilities, and a deep commitment to confidentiality and stakeholder engagement, thereby advancing Duke Health's mission to attract and retain top-tier executive talent.

Duties and Responsibilities of this Level

Executive Search Leadership: Oversee and direct all phases of executive recruitment operations from requisition initiation through executive onboarding ensuring seamless coordination of complex schedules, stakeholder meetings, and talent assessments at the highest organizational levels.

Confidential Information Stewardship: Act as a trusted steward of highly sensitive executive search information, maintaining strict confidentiality and professional discretion throughout all communications and interactions.

Strategic Stakeholder Engagement: Forge and nurture strategic partnerships with executive recruiters, senior business leaders, and executive assistants, serving as the principal liaison for executive search logistics and process optimization.

Executive Candidate Experience: Deliver an exceptional, "white-glove" candidate experience for executive-level talent, managing personalized communications and ensuring Duke Health's values are reflected at every touchpoint.

Resource & Process Management: Develop, maintain, and enhance recruitment infrastructure including executive pipelines, pre-brief materials, and real-time reporting to support timely and informed decision-making.

Talent Pipeline Development: Proactively coordinate and facilitate executive recruitment initiatives, including strategic talent mapping, engagement sessions, and leadership pipeline cultivation.

Proactive Communication & Issue Resolution: Anticipate and resolve operational challenges, providing timely updates and strategic recommendations to executive search partners and stakeholders.

Executive Onboarding Facilitation: Direct the seamless transition and onboarding of executive hires, partnering closely with senior leadership and executive assistants to ensure a world-class assimilation experience.

Advanced Administrative Leadership: Oversee executive calendars, coordinate complex travel logistics, and prepare high-impact agendas, reports, and presentations for senior audiences.

Process Improvement Leadership: Collaborate with talent strategies leadership to drive continuous improvement and innovation in executive recruitment strategy and operations.

Required Qualifications at this Level

Education

Bachelor's degree preferred; high school diploma or equivalent required with significant relevant experience.

Experience

Minimum of 3 years in executive recruitment coordination, executive search, or comparable exempt-level talent acquisition roles.

Degrees, Licensure, and/or Certification

Knowledge, Skills, and Abilities

Demonstrated excellence in organizational leadership, complex task management, and strategic prioritization.

Exceptional attention to detail, follow-through, and executive-level customer service orientation.

Advanced communication and interpersonal skills, with the ability to influence and build relationships at the highest organizational levels.

Proven ability to maintain confidentiality and exercise sound judgment in sensitive situations.
