Occupational Summary

Perform routine clerical activities associated with checking records against source documents, screening phone calls and sorting messages.

Work Performed

Match records against source documents to verify accuracy of records and compliance with rules and procedures of appropriate system.

Resolve discrepancies in records by contacting appropriate Duke office to obtain information on source of discrepancy and following through on changing any errors in documentation.

Contact persons outside of Duke when appropriate, such as vendors, patients or insurance company employees to obtain information lacking in records. Greet callers and assist them with general problems or complaints. Answer questions concerning department policies and procedures.

Prepare and send form letter to patients, customers and agencies to obtain information.

Operate standard office equipment such as microfilm readers, calculators, electronic data terminal, telephone and typewriter.

Post information to records or ledgers.

Order and issue supplies.

Open, sort and route incoming mail; prepare outgoing mail. Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:

Work requires a knowledge of basic grammar and mathematical principles normally acquired through a high school education.

 

Experience:

Work requires three months of clerical or general office support experience to become familiar with activities involved in providing routine clerical support.
