Occupational Summary

Assist the Director in the administrative management and coordination for the admissions functions at the School to include the recruitment and selection of student applications for admission and assigned programmatic responsibilities.

Work Performed

Coordinate all activities involved with the recruitment, selection, and retention of prospective students to the School including interviewing, extensive travel and travel planning for marketing and recruiting purposes.

Represent the School on and off-campus; represent the institution on a national basis and oversee any off-campus events sponsored by the Duke School of Medicine Office of Admissions for the purposes of marketing and recruitment.

Supervise and oversee all admission officer personnel and operations including all day-to-day functions of operation, organize and complete yearly reviews, vacation schedules, salary recommendations/adjustments, and disciplinary actions.

Manage and oversee an extensive customer service network and service including state of the art student contact processes.

Ensure that this process meets the highest levels of activity and performance and mandated by the senior administration of the school.

Manage all procedures and policies for transition of data throughout the electronic process to ensure a smooth integration with University, School of Medicine, and University data management systems.

Provide marketing and public relations activities to insure effective representation of the school throughout the community, the state of N.C. and the academic/medical communities of the U.S.

Oversee the admission process including operational planning, staff supervision, and development.

Maintain, participate, and manage a national student recruitment and marketing program.

Manage, oversee, and administer the admission office budget.

Ensure that Duke institutional policies with outside governing agencies and institutional mandates and requirements are met and applied.

Ensure and guarantee privacy, confidentiality with particularly sensitive, controversial, and personal data.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:

Work requires a general business background generally equivalent to a bachelor's degree in a business related field.

 

Experience:

Six to eight years of related admissions, business or administrative experience. Must have experience with general personnel practices, accounting and budgeting principles and coordination of major office activities. Must have previous supervisory/management experience.

A master's degree in a business related field may be substituted for 2 years of experience.

OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
