Occupational Summary

The Duke Office of Clinical Research (DOCR) provides support to investigators and study teams conducting clinical research. Duke University School of Medicine recently implemented, OnCore, a Clinical Trials Management System (CTMS), and One Duke Budget, a standardized approach to budget development and negotiation that leverages OnCore Financials to ensure accurate, efficient and consistent budgets. This position will support the OnCore Financials workflows of Industry-funded clinical trials and clinical research and will play a key role in the continued rollout of OnCore Financials and One Duke Budget throughout the Duke University School of Medicine.

Work Performed

OnCore Start Up and Budget Support

Assist in the development and support of the clinical research start-up workflow, including budgeting, billing, invoicing, and other areas as needed.

Understand research protocols, clinical trial agreements, Medicare Coverage determination process, financial budgets and fees associated with the research.

Critically evaluate research protocols to assess resource needs; assessment includes research procedures, clinical research staff time, investigator time, and the inclusion of costs from ancillary departments.

Develop an internal cost assessment and preliminary budget in OnCore Financials Console, using the One Duke Budget model, for CRU use during negotiations.

Review contract payment terms and provide feedback to CRU prior to negotiations.

Complete and review OnCore

Financial Console to ensure negotiated financials terms have been accurately translated and built within the system.

OnCore Invoicing Support

Research invoice data in OnCore and SAP to query information, run reports, and analyze results.

Assist CRUs with invoice creation and troubleshooting invoice creation errors.

Support units with processing OnCore invoice adjustments including reverse and amend, write offs, and partial payments.

Review and approve submitted invoice write offs.

Work with CRUs to monitor and review the OnCore Billable Items list in order to accurately capture protocol Accounts Receivable data.

Work with CRUs to accrue unbilled revenue monthly for activity in OnCore and trial trackers.

OnCore Payments Support Help to facilitate and support the OnCore payment process by working with CRUs and Duke Accounts Receiving.

Receivable to research payment discrepancies and research variances between OnCore and SAP.

Training Support

OnCore Financials training through development of training materials and assisting with classroom and "at the elbow" training sessions.

Required Qualifications at this Level

Education/Training:

Work requires a Bachelor degree

 

Experience:

Work requires a minimum of three years' experience. Preferred experience in research, finance, or related. Preferred candidate will have experience in customer service, budgeting for clinical trials, billable events, invoicing sponsors, and managing payables.
