Occupational Summary

Reporting to the Records & Clery Act Compliance Manager, the Assistant Manager supervises and maintains the day-to-day operation of the Records area; ensures the accuracy and completeness of all police reports; advises and provides support to police patrol supervisors for Records- related information.

Works with the Records & Clery Act Compliance Manager to ensure the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act compliance. In the absence of the Manager, maintains compliance with the Clery Act and associated regulations.

Work Performed

Work as the primary supervisor for report entry and quality assurance, including control and maintenance of the Records Management System, identifying and correcting data inaccuracies, and advising police patrol supervisors on accurate report procedures that have significant legal impact for the department and the university.

Manage incident classification according to North Carolina General Statutes, National Incident-Based Reporting System (NIBRS), and Clery standards. Advise and assist the Manager when classification affects Clery data collection and/or when there is any variance among the federal and state standards that may need resolution.

Maintain the Clery Crime Log on a daily basis by entering and updating entries as well as crosschecking supplemental report data; uploading the Log to the DUPD website.

Supervise distribution of police reports to various departments and personnel, including Human Resources, Corporate Risk Management, the Occupational and Environmental Safety Office (OESO), and Duke Police Administration.

In absence of the Manager, maintain Clery data collection and analysis, including:

Evaluation of Student Conduct reports for Clery inclusion Classifying and documenting police incident reports Coordination with Title IX Coordinator and Conduct Deans Geographical knowledge of Clery geography Updating Campus Security Authority lists Review of policy requirements in, and update of, Annual Security Report

Supervise and coordinate the work of designated employees by review of completed work for adherence to instructions or correctness. Recommend various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers and vacation schedules.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:

Work requires a general educational background normally equivalent to a full high school education plus two years post-secondary education or equivalent.

 

Experience:

Work requires 4 years related administrative experience to become familiar with general records management practices, legal and statutory codes and coordination of major office activities.
