This position will report to and directly support the Director of the CTSI. The person in this role will act as a member of the executive leadership team, providing strategic planning and execution over the entire organization. This position requires balancing and influencing multiple competing priorities and individuals.
Support Decision Making
Support efficiency in strategic decision-making processes by ensuring the Director has all of the information necessary to make decisions. Provide non-biased assessments of information needed for decision-making Prepare briefs, background information, or other materials as necessary to support Directors decision-making. Anticipate data and information needs, conduct necessary analyses, synthesize and report information to support decision-making. Anticipate problems, barriers to implementation of decisions, with consideration of politics and diplomacy.
Support Communications
Pro-actively assist Director in planning and preparing for key events or meetings. Prepare talking points, backup documents, and anticipated questions or concerns on the relevant topic. Document action items and delegate items to other staff or faculty, when appropriate. Ensure follow up on strategic initiatives and CTSI activities. Link CTSI Executive Leadership team with broader CTSI organization. Participate in meetings as a member of CTSI Executive Leadership and support Director as needed.
Represent Director
Serve as a go-between and liaison for communication with middle and senior leadership and Director, decreasing burden on Director by assimilating information, and communicating messages. Facilitate the strategic creation and delivery of messages from the Director for internal and external dissemination, for example, monthly staff newsletter, monthly staff meeting, notes to CTSI associated faculty and staff, general announcements about leadership changes, etc. Act as a representative of the Director in various internal and external settings, for example, collaborative stakeholder meetings, NCCU-Duke Advisory Council Meetings, CTSI Staff Meetings, and other meetings as appropriate.
Strategic Advice and Planning
Serve as a confidant, advisor and sounding board to the Director on highly sensitive topics, such as leadership appraisals, budget negotiations, or partnership opportunities. Provide advice, counsel, and a non-biased opinion on issues of strategic importance, for example, the development or sunsetting of programs or initiatives, organizational management, and strategic initiatives. Assist Director, and Senior Leadership team, with strategic, operational, and cultural change.
Manage CTSI Strategic Initiatives
Oversee key strategic initiatives at the behest of the Director, (for example, implementation of equity and anti-racism curricula, CTSI landscape assessments, and change management execution related to organizational restructures). Work with Director and Administrative Director to provide leadership, instruction, and direction to operational and administrative staff to operationalize ideas. Develop overarching plans with deliverables, RACI charts, or other necessary materials to guide their implementation. Connect work streams to provide maximum synergy across CTSI. Assess and integrate broad CTSI landscape (internal and external) when assisting CTSI Director on strategic initiatives Engage in strategic thinking and problem-solving with Director and Administrative Director to position CTSI to best leverage strengths and capabilities while reducing friction and barriers to change.
Supervise Staff
Oversee the work of the (Strategy Office) unit staff, providing supervisory and managerial functions. Support staff with career development opportunities, guidance, and regular performance appraisals. Conduct hiring and promotion assessments and manage behavioral issues, when necessary. Integrate a strategic view when considering CTSI staff policies and initiatives with CTSI Executive Leadership
Education/Training: | Bachelor degree required; graduate degree in business administration, health administration, public health, or health related field preferred. A working knowledge of health care and academic medicine is essential. |
Experience: | Minimum of 10 years of management experience required, preferably in a highly complex, matrixed organization such as an academic medical center, medical school teaching hospital, or research university. |
Skills: | Excellent organization, management, administrative, problem solving and human relation skills; must also possess a style which exhibits maturity, leadership, sensitivity and teamwork. Communicates and leads in a manner that fosters understanding, employee engagement and commitment to results. Ability to build and lead a team that values organizational success over personal success; provide ongoing coaching and feedback to ensure peak team and individual performance. Ability to work within deadlines and as a team player with the leaders of the organization Rely on extensive experience and judgment to plan and accomplish goals. A wide degree of creativity and latitude is expected. |
