The Assistant Director of Campus Mail Services supports the Director in providing strategic and operational leadership for all campus mail operations. This role ensures efficient, compliant, and customer-focused services across multiple mail centers and contributes to continuous improvement initiatives that enhance the overall service experience for students, faculty, staff, and campus partners.
Provide daily oversight and leadership to supervisory staff within the Mail Processing Center, Student Mailbox Center, and Health Mailbox Center.
Facilitate personnel actions including hiring, training, performance evaluations, promotions, disciplinary actions, and scheduling.
Coach and cross-train staff and student workers to improve performance, customer service, and operational effectiveness.
Partner with HR and/or Staff & Labor Relations to address employee concerns and resolve personnel issues appropriately.
Prepare reports, operational summaries, and presentations as directed.
Analyze operational data to identify trends, service gaps, and opportunities for process improvement; collaborate with the Director to develop and implement improvement strategies.
Review, update, and maintain departmental procedures to ensure consistency, accuracy, and compliance with Duke policies and external regulations governing campus mail operations, including USPS guidelines. Routinely audit work of staff members.
Utilize specialized equipment and technology-including package-tracking systems, intelligent parcel lockers, and postage-metering equipment-to support accurate and efficient mail processing. Work with IT and vendors to manage equipment inventory and servicing needs.
Support the Director in monitoring the department's operating budget and participating in financial reconciliation processes. Monitor postal financial account balances and replenish funds, as needed.
Foster collaborative relationships with university departments, vendors, and service partners.
Respond to inquiries, resolve complaints, and address service issues in a timely and professional manner. Recommend innovative solutions to achieve postal automation discounts.
Engage campus stakeholders to provide updates on services, gather feedback, troubleshoot challenges, and evaluate alternative operational approaches.
Maintain knowledge of current industry practices, technologies, and USPS requirements by participating in relevant professional associations and training opportunities.
| Education/Training: | Work requires Bachelor's degree in a relevant field, demonstrating strong organizational, analytical, and communication skills. |
| Experience: | Work requires five years of experience in an operational or administrative role within a postal or logistics environment, including at least two years of supervisory experience. Experience in mail operations within a higher education setting is preferred. A master's degree in business or management may substitute for two years of experience. |
