Occupational Summary

The Senior Director of Academic Programs and Registrar provides leadership and oversight for academic administrative functions of Duke Divinity School. Reporting directly to the Associate Dean for Academic Formation, the Senior Director ensures the integrity and efficiency of the School's registration systems, student records, curriculum coordination, and compliance with University, state, and federal policies.

As the Divinity School's chief academic records officer, this position manages academic administrative operations from matriculation through graduation, oversees professional staff, and collaborates with University partners to align systems, strengthen compliance, and enhance the student academic experience.

Work Performed

Strategic Leadership and Administration

Provide comprehensive direction for the Office of Academic Programs and Registry, integrating advising, academic support, and records management.

Oversee coordination and implementation of curriculum review and design, student and faculty training.

Work closely with the Associate Dean for Academic Formation to develop and implement new programs and initiatives.

Serve as Divinity School Registrar and liaison to the Duke University Registrar and related offices; ensure institutional alignment and data integrity.

Develop and implement policies, procedures, and assessment methods that support academic quality, accreditation readiness, and operational compliance.

Advise academic leadership on matters of policy, student progress, and degree integrity; exercise delegated authority in academic decision- making and exceptions.

Plan and oversee workflow, staffing, and resource allocation; supervise and evaluate professional staff across multiple programmatic and operational areas.

Manage team, including hiring and onboarding staff and performing annual performance evaluations and goal setting.

Direct team members ongoing professional development and provide daily operational oversight of team members??? progress.

Lead long-range academic operations and systems planning grounded in data analysis and continuous improvement.

Management and leadership of personnel that steer programming and training.

Fiscal Management

Develop and manage all budgets for Academic Programs, Registry, and Non-Regular Rank instructional support; support financial forecasting related to enrollment and instructional needs of the school

Coordinate resources with University offices in technology, finance, and facilities to support operational goals.

Approve relevant expenditures according to the office workflow process.

Academic and Curricular Operations

Direct the development of course schedules, classroom assignments, and examination calendars for optimal resource use.

Collaborate with faculty and program directors to align course offerings and degree requirements with curricular goals and accreditation standards.

Maintain the academic catalog and bulletin, ensuring accuracy, compliance, and timely publication.

Coordinate with Divinity units managing international, hybrid, and co-curricular programs to ensure academic and administrative coherence.

Collect and analyze enrollment and academic metrics for institutional reporting and strategic planning. Provide comprehensive data reporting.

Registration and Records Management

Oversee all registration, enrollment, grade reporting, and degree certification functions in accordance with FERPA and other regulations.

Ensure adherence to University, state, and federal requirements related to student records and academic operations.

Establish and monitor internal controls for data accuracy, security, and audit compliance.

Direct the design, maintenance, and reporting functions of digital academic record systems supporting institutional and accreditation needs.

Student Success and Retention

Lead the design of academic support and student retention processes, collaborating with colleagues across academic and ministerial formation areas.

Direct early-intervention and support processes for students experiencing academic or personal difficulties.

Chair or serve on committees addressing academic progress, policy, and student success.

Other Responsibilities

Represent the Divinity School in University-level academic and registrarial initiatives, compliance reviews, and technology implementations.

Perform related duties consistent with institutional and academic objectives.

Required Qualifications at this Level

Education/Training:

Work requires communications, analytical and organization skills generally acquired through completion of a bachelor's degree program. Master's degree in a related field preferred.

 

Experience:

At least six years of progressively responsible experience in records, registration, or academic administration sufficient to manage complex office functions involving student records and registration, policy implementation, and data reporting. Experience supervising staff and coordinating academic operations across multiple constituencies strongly preferred.
