The Associate Dean for Student Services (ADSS) serves as a member of the senior administration within a Professional School. The ADSS is responsible for providing leadership and supervision for all programmatic, training and student service related functions to recruit and enroll the most qualified students and to optimize the student experience at Duke University. The primary focal areas include: team development, maintenance and leadership of enrollment management and recruitment, development and implementation of services and programs to support student engagement, financial aid, registrar, career services, executive education, assessment and program evaluation, and liaison to Duke University's student services administration.
Lead an end-to-end engagement process that attracts diverse and high caliber students to Duke and seamlessly manages engagement with students through their inquiry, admission, financial aid, enrollment, scheduling and program experience, career counseling, alumni seeding, and graduation.
Provide oversight and leadership to the administrative functions of the School to include but not limited to: executive and administrative services to senior leadership, all faculty and divisions within the School, office operations, and event planning.
Works closely with the Schools senior leaders and faculty to develop strategy and new programs and ensures the implementation of these new strategies.
Collaborates with faculty to establish solid operating procedures supporting students and academic programs.
Oversees Student Administration, Enrollment Management and Career Services, including executive education, on the development and implementation of strategic and operational plans with yearly goals, objectives, budgets, project activities and events, scheduling, counseling, and resource management to students and alumni.
Sets yearly operating goals for each division of the office.
Provides variance analyses when targets are exceeded or not met, and suggests new strategies based on data analysis.
Oversees plans, processes, operations, controls, and staff across student services.
Supervise personnel including all day-to-day functions of the department.
Determines staffing requirements for the office, manages hires and terminations.
With consultation from Management, determines merit recommendations, performance assessments and evaluations, promotions, transfers, disciplinary actions and vacation schedules.
Ensures sufficient cross training is provided such that a system of back-up is in place among the staff, to support continuous operations and high quality service to students, faculty and other constituencies.
Design and evaluate work processes, and electronic and paper records, information systems and data bases.
Implements an academic year calendar that guides the work of the office including dates related to critical work and allows staff to work across teams and provide back-up support.
Ensures an effective recruitment and admissions team performs at its highest level and assists that team in developing and executing an annual plan to ensure enrollment targets are met.
Ensures that sound, confidential academic, financial aid and student advising services are executed at the highest level.
Works closely with the student administration team to ensure excellent support services are provided to students.
Works with student administration team to ensure excellent collaboration and support of faculty related to their curricular duties.
Ensures effective career development and career services are provided to students.
Works closely with the career team on development of strategic partnerships with corporate recruiters and human resource professionals to build mutually beneficial interviewing and job referral programs that facilitate students into their future careers.
Ensures executive education programs are developed and strategically marketed and works with the team to provide continuous learning opportunities to our alumni and other constituencies.
Periodic travel to represent the School may be required.
In coordination with Student Services staff and Marketing/ Communications staff, develop and oversee the marketing necessary for recruitment and enrollment of students in the various programs.
Provides leadership and guidance on marketing strategies of other programs targeting undergraduates for Schools majors and post baccalaureates and working professionals for professional degree and executive education opportunities.
Demonstrate advanced understanding of University systems, procedures and policies in these many domains.
Proposes and executes an annual budget ensuring detailed accounting consistent with School and University policies and procedures.
Oversees compliance with all federal, state, University and accreditation regulations as they apply to all aspects of the office.
Ensures and guarantees privacy, confidentiality with particularly sensitive, controversial, and personal data.
Education/Training: | A master's degree is generally required in higher education or a related field that will serve to enhance the stature and academic success of all university students. |
Experience: | At least six years of experience as a manager and administrator with responsibility for a wide range of process, project, policy, budgetary and supervisory responsibilities within an organization required. Demonstrated experience in recruitment, enrollment management, advising, counseling, program development, or a related field. Demonstrated leadership experience in an educational setting with an ability to serve as an effective advocate for student success. Working knowledge of mandated educational policies and practices as it pertains to maintaining the well being of the campus including FERPA, ADA, Title IX and the Cleary Act.
