Oversee and maintain the system of record, Endowment Management System (EMS) for all University and Duke University Health System (DUHS) endowments and other accounts invested in the Long Term Pool (LTP).
Ensure the accurate assignment and setup of attributes for all endowment and similar funds in SAP and EMS to facilitate meaningful data and analysis for senior management.
Identify and apply any new endowment or other attributes or programming changes needed to meet the requirements for new allocations or initiatives approved by senior leadership.
Ensure accurate and timely Long Term Pool financial information is recorded on the general ledger and reconciles to all subsidiary systems. Supervise the allocation of DUMAC-provided investment pool values over unitized pools to calculate individual values of funds and accounts invested in those pools and properly classify underlying investment activity, such as income and gains.
Develop and disseminate management reports for endowment related activities, including principal, market value, and distribution data for all endowments; prepare summary year-end schedules for University and Duke University Health System (DUHS) constituents, and external auditors.
Review and revise, as needed, all University and DUHS endowment agreements, conforming these documents to approved terms and conditions and funding levels.
Identify and provide solutions to disparities between donor-proposed endowment agreements and University policy.
Collaborate with development staff to communicate and advocate for alternative solutions which meet the intent of donors.
Identify potential legal issues in proposed endowment, trust, or other agreements and confer with University Counsel as appropriate to create and communicate resolutions.
Educate and guide department, school, and unit owners of endowment funds to ensure compliance with governing documents, donor intent, and current University policy.
Interpret donor restrictions and other stipulations in endowment, trust, and other charitable fund agreements to faculty and staff.
Apply University policies governing endowment spending, reinvestment levels, and other endowment practices.
Provide ongoing training and guidance to development officers, business managers, and other endowment users on endowment related topics, including endowment policies, procedures, and processes including the endowment spending rate calculation and rationale for a spending policy.
Promote and deliver formal endowment-related presentations to various development and operational groups to promote better understanding of endowment practices and clear communication with donors.
Ensure historical material (e.g., internal communication, supporting legal documents, and other correspondence) is adequately protected and stored.
Serve as the primary liaison with development offices and management centers for endowment related information including values, distributions, special analyses, and other ad hoc reporting requests.
Serve as the primary liaison for the Office of Gift Planning & University Counsel to facilitate the processing and approval of documentation for all annuity trusts, unitrusts, and other planned gifts.
Develop and provide reports and analyses depicting progress, adverse trends and develop appropriate recommendations or conclusions, as necessary.
Prepare and provide annual endowment distribution projections.
Prepare and provide to DUMAC, annually, a 10-year forecast for annual additions to the LTP Pool.
Prepare and analyze quarterly Cash Management Fund financial statements, internal leverage reports, and distribution/funding potential to identify possible funding mechanisms for strategic initiatives.
Prepare and analyze interim and fiscal year-end reports for selected agency funds.
Develop and deliver ongoing reports related to fundraising campaigns and other initiatives.
Prepare annual endowment-related footnotes for University and DUHS financial statements.
Coordinate and communicate with internal constituencies regarding: gift funding for capital projects and related pledge documents supporting the funding of activities which take place in those capital projects; the recording and classification of large complex endowment gifts or pledges; large anticipated gifts and anticipated cash movements impacting the LTP.
Develop and ensure achievement of annual departmental goals designed to enhance the departments support to the Duke community.
Develop and maintain official University endowment policies, including the maintenance of the web pages.
Supervise, train, motivate, and evaluate full-time professional staff.
Maintain and archive contracts and other files intended to last in perpetuity.
Prepare or review Board of Trustee resolutions for endowment or Long Term Pool items requiring Trustees approval.
Education/Training: | Work requires a Bachelor's degree in Accounting, Finance, Business Administration or a related field. |
Experience: | Work requires a minimum of 10 years experience in business, fund raising, public relations, legal affairs, institutional administration or related administrative field to acquire skills necessary to coordinate the creation, maintenance and administration of endowment records and to monitor and enforce institutional guidelines concerning endowment funds and other gifts to the University. |
