Occupational Summary

Provide project and administrative support of a complex and confidential nature for multiple units and executives within Human Resources and Visa Services. Plan, coordinate and administer activities within program areas and provide support to achieve unit goals and priorities.

Work Performed

Provide strategic assistance to the Vice President for Human Resources on special projects and programs.

Carry out critical and important projects in collaboration with other team or committee members making recommendations regarding appropriate courses of action based on a thorough understanding of desired outcomes, expectations, and timelines. Escalate project issues when needed.

Plan, coordinate and administer activities of assigned programs to include developing and implementing procedures, processes, services, and systems; train employees in proper methods and procedures and ensure correctness of work.

Manage operational and programmatic decisions that have a significant impact on the successful achievement of program strategies and objectives; develop, coordinate, and advise staff regarding program policy.

Monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends, and recommend and implement modifications to improve program effectiveness.

Manage budget and logistics for meetings and events and other related programs.

Effectively communicate expectations to project stakeholders in a timely and clear manner, coordinating efforts on an ongoing basis. Develop and communicate project status updates for executives and other leaders, as required. Prepare agendas and attend selected meetings with work groups, project teams, committees and/or task forces, ensuring that action items arising from these meetings are executed in a timely fashion.

Initiate, establish, and maintain excellent working relationships with key stakeholders, both internal and external to the university.

Maintain liaison with other programs, offices and departments at Duke to coordinate program business and to accomplish unit or program objectives; interface with external organizations as appropriate to ensure cooperative efforts are enhanced and available resources are utilized.

Maintain, review, and reconcile departmental or divisional budgetary records, prepare budgetary projections and recommendations.

Arrange for and schedule appointments and meetings for executives; screen and respond to inquiries, advise, and answer questions concerning departmental or divisional activities

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience:

Work requires five years of experience in project administration including complex projects involving multiple functional groups OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
