Occupational Summary

The Senior Director of Alumni Travel will provide leadership and strategicvision in the conceptualization, planning, development, and execution ofa comprehensive Alumni Travel Program to engage a diverse population of Duke University's constituency. Reporting to the Alumni Engagement and Development Vice President for Lifelong Learning, the Director will supervise programs and staff to ensure best practices and implementationat a high rate of efficiency, feasibility, and measurable success, and possess expertise in revenue generating operations as well as knowledge and experience with the affinity travel market and global developments. The Senior Director will have an academic understanding of Duke University and working relationships with leadership at Duke Schools and entities and Duke Faculty to showcase the quality educational resources of the institution and to promote intellectually engaging alumni and friends.

Work Performed

Create an operational strategy for, oversee and manage the revenue- generating Duke Alumni Travel program, which supports and furthers the strategic goals of the program and Duke Alumni Engagement & Development, by showcasing Duke and its resources and actively engaging alumni and friends in increasing numbers and diversity.

Manage Alumni Travel program activities, which includes, but is not limited to, negotiation with vendors and suppliers, selection of destinations, designing itineraries, recruiting and training faculty, sales, and maintenance of the traveler database (ViaTour).

Supervise and coordinate all promotional and advertising material, in print and electronically marketed in collaboration with the Marketing & Communications team.

Oversee all programs with measurable success, constituent surveys, evaluation, and adjustment for future implementations, while coordinating management and work distribution with staff.

Command knowledge of the academic and strategic mission of Duke University and its current affairs.

Recruit faculty and senior administrators as speakers and alumni travel study leaders and maintain a portfolio of these and potential faculty resources. Cultivate university-wide relationships and opportunities for interdisciplinary collaboration that support core mission of the university.

Management Duties Manager: Representative Duties - Appropriately represent Duke University as "employer" to direct reports and direct reports as "employees" to Duke University.

Programmatic Duties - Ensure alignment of given programmatic, departmental, and/or organization-wide activities with AED strategic goals, priorities, and expectations.

Financial Duties - Exercise fiduciary responsibility for given individual, programmatic, departmental, and/or organization-wide activities in accordance with Duke's financial policies, procedures, and standards, and AED expectations.

Personnel Duties: Supervise direct reports in accordance with Duke's human resource policies, procedures, and standards, and AED expectations.

Personnel Duties: Hire & Onboard new employees (and offboard separating employees) in accordance with programmatic, departmental, and organization-wide priorities, Duke's human resource policies, procedures, and standards, and AED expectations

Supervise the travel program coordinator. Recommend various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers, and vacation schedules.

Account for program budgets and overall fiscal budgetary goals and performance and feasibility.

Command expertise of reporting tools, databases, and technology required for direction of program.

Maintain, in program and in personal contact, a high quality of customer service with constituents.

Professionally represent the DAA and Duke University and report on the program in campus-outreach meetings, planning meetings, DAA Board meetings, professional conferences, and as Duke Host or leader of Alumni Travel programs domestically and internationally.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:

Requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience:

Requires eight years of experience in public relations, marketing, or a related field to acquire skills necessary to plan and coordinate travel tours and associated educational components.
