Occupational Summary

Coordinate and participate in a variety of editorial and preproduction activities required in preparing the Graduate Bulletin and Undergraduate Bulletin for publication; develop and/or prepare various other publications and printed materials and provide general editorial assistance to the Graduate School and Trinity College.

Work Performed

Initiate, coordinate and monitor a variety of activities involved in preparing the graduate and undergraduate bulletins; communicate directly with a wide variety of individuals including academic deans, program directors, and academic and non-academic offices to coordinate various aspects of the bulletins process. Establish and communicate deadlines for information submission and monitor adherence to schedules as appropriate; distribute bulletin sections for revision and provide general information related to the process to departments, programs and offices. Ensure accuracy of information included in bulletins; identify and resolve discrepancies with departments; edit submissions for clarity, accuracy and conformance to bulletin style; maintain historical files of course approvals and faculty titles. Revise, edit and arrange appropriate bulletin sections such as credits, table of contents, faculty listings and index; recommend revisions to other sections and make authorized textual changes; provide input into what to include, how to discuss resources and placement of materials within the bulletins.

Maintain liaison with the Bulletin's Office regarding production and with typographer regarding scheduling, format and related problems; contribute to matters of design; proofread copy and coordinate proofreading by others.

Represent the schools regarding implementation and use of Master Course File; request printouts and monitor for errors; coordinate and monitor merging of bulletin text with Master Course File. Coordinate, participate in and/or contribute to informational and promotional materials and publications such as newsletters, pamphlets, brochures, reports, and manuals; write, contribute ideas for and solicit articles; compile material from a variety of sources and edit for consistency, style, format and grammar; provide editorial advice and reorganize material as appropriate; proofread, design and layout materials as appropriate.

Maintain interface with printing services to ensure material is produced in accordance with established schedules, design and style specifications and budgetary requirements.

Perform data entry activities to enter text, articles and other material onto computer; apply typesetting and other specification codes to material as needed.

Perform other related duties incidental to the work described herein.
