Occupational Summary

Employees in this position are responsible for assisting with the overall operation of the Campus Mail Services Center. This includes providing assistance with receiving and distributing mail, and performing the daily activities and other mail related functions as assigned.

Work Performed

Perform the various tasks and duties for Outgoing US Mail for the Duke University and Health System (Hospital) distribution network. Once outgoing mail is received at the Central Mail hub location all like mail should be banded and co-mingled by fund code.

Provide timely mail preparation and handling of outbound mail which includes metering Domestic and International mail. All of this mail must be primary sorted by class of mail, metered and consolidated by fund code as well.

Work closely with route drivers to co-mingle mail effectively by department fund accounts. Ensure mail is bundled and that fund codes and documentation is correct to affix postage by respective department to follow department protocol.

Coordinate mail processing activities (e.g. letters, flats and parcels, etc.) accordingly. Proven ability to multi-task and handle high-peak mail volumes of outgoing mail. Ensure fund codes and documentation are correct and that they follow department protocol.

Proven ability to operate mail machines and postal equipment effectively. Knowledge and experience with resetting postage meters and replenish funds onto meters. Must maintain and upkeep equipment and perform preventive maintenance as required.

Perform work duties and master all aspects of the mail operation in a back-up capacity. Assist with parcel distribution to parcel lockers as well. Work closely with supervisor to coordinate special bulk mailing projects and distributions performed at hub location.

Assist with maintaining daily postage and metering records and activity logs. Assist with reporting daily usage and outbound mail volumes of mail sent out daily.

Complies with all Duke University and Campus Mail Services internal department policy and guidelines.

Required Qualifications at this Level

Education/Training

Work requires the ability to understand and follow oral and written instructions generally acquired through high school education. Specific knowledge of mail preparation and processing Outgoing US Mail. This includes knowing the variety of US Postal Service's products and services. Understanding the various rate and classifications regarding Domestic and International mail.

Experience

This work requires three years of relevant education with processing outgoing US Mail and/or clerical work experience. High school graduate or its equivalent is required. Work may require lifting and carrying up to 70 lbs.

Previous postal knowledge and work experience in a mail service center environment a plus. Experience with U.S Postal Service, FedEx, UPS carriers. Package handling utilizing computers and websites helpful.
