Occupational Summary

This position provides support to attorneys in the Office of Counsel with the management of legal matters, and performing other tasks. General knowledge in the legal field is preferred, and applicant must demonstrate the utmost level of discretion and confidentiality. This position reports to the Administrative Manager in the Office of Counsel.

Work Performed

Responsible for maintaining accurate and highly confidential records for legal cases managed by the Counsel's Office.

Responsible for opening electronic files for new cases, preparing engagement letters for outside counsel, and requesting funding for outside counsel. Monitor and track individual cases, maintain internal status updates relating to cases, accurately identify and input data into electronic filing system, collect documentation for the file, and close matters ensuring documentation is in the electronic file for future reference.

Compose, edit, and send formal correspondence on behalf of attorneys which requires confidentiality, accuracy, efficiency and precise attention to detail.

Coordinate and complete special projects such as researching, identifying and comparing documentation from a closed case that could have taken place years ago independently for a current case. Prepare financial reports, charts and graphs for outside counsel cases as requested using the office's billing software. Provide spend reports and copies of invoices to outside counsel as requested for insurance purposes.

Serve as a liaison between the Office of Counsel, Duke University, Duke University Health System, senior leaders and external counsel. Familiarity with the internal organization and workings is preferred.

Use expert judgment and knowledge to manage multiple calendars.

Required Qualifications at this Level

Education/Training

Bachelors degree generally required. General knowledge in the legal field is preferred.

Experience

Requires four years working in related field or equivalent combination of relevant education and professional experience.
