Occupational Summary

Provide overall administrative management and coordination of various business related functions including finance, budget, personnel, strategic implementation and gift management and compliance within Medical Center Development.

Work Performed

Finance and Budget

Plan departmental operational and campaign budget needs by analyzing program plans and fiscal requirements on both a short and long term basis.

Manage the reporting for DMDAA budgets that emanate from multiple sources with differing parameters and expectations, and integrate these budgets to the extent agreed upon by leadership.

Oversee procurement and contracting for DMDAA.

Establish office wide standards and oversee compliance for travel expenses/reimbursement for DMDAA staff.

Coordinate the compilation and preparation of financial reports and analysis, setting forth progress, adverse trends and appropriate recommendations.

Strategic Implementation

Work with the DMDAA Executive Leadership Team in implementing strategic priorities, and maintain interface with departmental personnel to coordinate operational activities.

Maintain liaison with all levels of administration, faculty and outside organizations to coordinate departmental business, accomplish directives and facilitate the resolution of problems.

Gift Management & Compliance

Serve as liaison for DMDAA with Gift Records, Sponsored Programs, and SOM and DUHS Financial Management regarding the recording and reporting of gifts, managing gifts in suspense, and general accounting issues for gifts to Duke Medicine.

Develop and implement new procedures for donor gift agreements and, working with Donor Relations, SOM and DUHS Financial Management, faculty, and others, develop and oversee a program to monitor institutional compliance in the use of gifts received from donors.

Work with Donor Relations to improve data and reporting capabilities for donor stewardship.

Coordinate the compilation and preparation of operational and financial reports and analysis, using fund raising data, setting forth progress, adverse trends and appropriate recommendations.

Personnel & Program Management

Build recruitment, training and retention programs specific to the unique market and best practice needs of a top tier academic medical center development operation.

Design roles; recruit and manage staff.

Supervise and coordinate work of designated employees, which will include departmental staff supporting human resources functions, office management, and office technology.

Required Qualifications at this Level

Education/Training

Work requires a Bachelor's degree in Business Administration, Accounting or a closely related field.

Experience

Work requires a minimum of eight years of progressively responsible experience in administrative management, to include proficiency in budgeting, fund raising accounting, personnel supervision, program development and management, space, facilities and equipment management.
