Occupational Summary
The Director of the Office of Special Events and University Ceremonies will lead the development, planning and coordination of University ceremonies and special events hosted by the University consistent with the strategic focus and image of the University; organize and manage on- site execution of events with other University departments to ensure that activities run smoothly and follow appropriate protocol. The position works closely with the University President and his/her spouse, and serves as an integral member of the Presidents team.
Work Performed
Lead the development, planning and implementation of annual University ceremonies to include Founders Day, Commencement and other ceremonies such as dedications, memorial services and presidential inaugurations; oversee/coordinate ceremony details and related activities with faculty and staff across the university.
Lead the development, planning and implementation of special events for Duke University including, but not limited to, dinners, conferences and special entertainment programs hosted by the President and other officers of the University; conceptualize event objective and recommend scheduling; establish and ensure University protocol; coordinate and supervise details of special events to include invitation mailings and response tracking, entertainment, speakers/programming, site selection, menu, seating arrangements and event agenda.
Evaluate annual programs for effectiveness, investigate trends, and recommend and implement modifications for improvement.
Supervise staff in the Office of Special Events and University Ceremonies and the staff who support the President and his spouse at their residence, Hart House.
Oversee human resources functions including, but not limited to hiring, training/development, and performance appraisal, reward and recognition, and separation.
On an annual basis, oversee the process of updating the web site and communication plan for Commencement and oversee management of web site to enhance marketing and communications with students, parents and faculty.
Oversee the creation of new websites as required to support large events and university ceremonies.
Assist departments as requested with planning and implementation of various special events to range from giving advice, conforming plans to Officers and/or departments preferences and/or planning entire event.
Supervise the production, design and accuracy of printed programs, invitations and brochures for events.
Advise various offices of policy and procedures for information to be submitted for these publications.
Use discretion and exercise independent judgment in communicating with senior officers/staff, trustees, alumni/donors, faculty, community leaders, and others on a variety of issues and topics.
Determine fiscal requirements for the Office of Special Events and University Ceremonies and prepare budgetary recommendations; monitor and verify expenditures of budgeted funds; provide explanation and justification for variances in budget.
Coordinate non-admission tours of the campus as requested; ensure that students are trained to provide appropriate information on tours.
Perform other related duties incidental to the work described herein.
Required Qualifications at this Level
Education/Training
Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work requires seven years experience in alumni affairs, public relations, sales and promotions, marketing, fund raising, student activities, program administration or a related field to acquire skills necessary to coordinate a variety of special events and administer related activities.
