Occupational Summary

The Manager of Global Administrative support will provide day to day leadership of efforts to plan and deliver coordinated administrative support across multiple offices, including needs assessment, project planning and management and outcomes assessment; maintain shared infrastructure for coordinated administrative support, including the Global Support Website and associated documentation of policies and procedures, how to tool box features, related websites such as the University Travel Registry; and serve as an initial point of contact for global program leaders and participants seeking advice on planning global activities or resolving particular administrative challenges in operating global programs.

Work Performed

Serve as functional owner of the global support website, including responsibility for content maintenance.

Serve as central resource for information dissemination/marketing/training with respect to Duke's comprehensive strategy for administrative support of global programs. Prepare and maintain documentation as well as presentation and other materials. Establish and execute communications plans.

Triage for faculty and staff on administrative issues, and coordination with Single Points of Contact within key administrative support functions including, but not limited to, Human Resources, Procurement, Payroll, Accounts Payable, Treasury and the University Counsel's Office.

Work collaboratively with customers and process partners, peers and leaders. Provide project management support for global administrative support initiative. Convene ad hoc and permanent working groups, as necessary, to develop solutions to operational and operational policy development issues.

Manage vendor relationships and third party contacts/contracts secured to address specific operational needs in specific international settings, serving as the initial conduit to resources for the Duke community.

Research best practices in supporting institutional global activities.

Solve complex and unstructured problems in collaboration with appropriate stakeholders.

Assist in other activities as identified and requested.

Education/Training

Position requires innovative, creative, highly motivated, team oriented individual.

Requires ability to work independently and thrive in an unstructured environment.

Specific requirements include: Work requires organizational, analytical, and communications skills normally acquired through completion of a bachelors degree program.

Experience

Work requires a minimum of 5 to 8 years of related experience including explicit international administrative experience.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Skills

Excellent written, verbal and presentation skills as demonstrated through prior experience. Demonstrated ability to work effectively with groups and at all levels of management and employees. Demonstrated analytical and business process skills, including the ability to identify opportunities for work process improvements and then plan and implement effective policies and procedures that affect multiple stakeholders.

Preferred skills: Demonstrated negotiation, consultative, and facilitation skills. Demonstrated change management skills. Demonstrated ability to function at a high level in a fast-paced environment.
