Occupational Summary

Develop, plan and coordinate special and varied off-site and campus events hosted by the University consistent with the strategic focus and image of the University; organize and manage on site execution of events with other University departments to ensure that activities run smoothly and follow appropriate protocol.

Work Performed

Develop, plan and implement the program of special events for Duke University including, but not limited to, dinners, conferences and special entertainment programs; conceptualize and recommend scheduling of events as appropriate; plan and coordinate details of special events hosted by various University Officers and/or departments to include selecting entertainment, site, menu, seating arrangements and itinerary based on event objective or theme.

Research and prepare background information and/or introductory remarks for special events as appropriate.

Plan and coordinate arrangements for special functions including the management and tracking of invitations.

Assist departments as requested with planning and implementation of various special events to range from giving advice, conforming plans to Officers and/or departments preferences and/or planning entire event.

Coordinate non admission tours of the campus as requested; ensure that students are trained to provide appropriate information on tours.

Determine fiscal requirements for the department and prepare budgetary recommendations; monitor, verify and reconcile expenditure of budgeted funds.

Prepare reports and analyses reflecting progress, adverse trends and appropriate recommendations or conclusions.

Supervise staff to include but not limited to hiring, firing, training and performance appraisal.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires six years experience in alumni affairs, public relations, sales and promotions, marketing, fund raising, student activities, program administration or a related field to acquire skills necessary to coordinate a variety of special events and administer related activities. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
