Occupational Summary

This position is an administrative thought leader and senior staff partner to the Vice Dean for Faculty. Important qualities for this position are deep institutional knowledge and experience, high emotional intelligence, superior interpersonal and communication skills, and a creative and growth oriented mindset when problem solving. This position is essentially the administrative partner to the Vice Dean for Faculty and will oversee the numerous priorities of the Office and mentor and supervise the staff executing the vast portfolio of work in the Office. The position is also instrumental as the administrative partner for highly sensitive and confidential professionalism concerns for which the Vice Dean for Faculty and partnering offices (OIE, Staff and Labor relations, legal counsel, DOSI) are consulted to advise and manage.

Work Performed

Lead administrative partner acting Chief of Staff to the Vice Dean for Faculty

Consult and collaborate with Vice Dean for Faculty on the execution of: Budgetary oversight of all programs sponsored by the Office for Faculty External communication, on behalf of the Vice Dean, to representatives from the SOM, including department chairs and vice chairs for faculty, and other Duke Health leadership. Strategic Planning and future directions for the Office for Faculty Development and measurement of SOM Department Chair and Center Director annual metrics Management/oversight over the planning and execution of the monthly Office for Faculty senior admin and faculty meetings Oversight of new project and program planning and implementation, and ensuring cohesive, equitable and collaborative approach to all programs, and deliverables and deadlines are met. Oversight and management of staff within the Office for Faculty, including the oversight of work projects and deliverables in the areas of Professionalism, Faculty Development and Awards, Leadership Searches and Onboarding, Leadership Development, Well Being, Research Mentoring, and Appointments Promotions and tenure (APT) Management of Office for Faculty personnel issues

Lead Administrator for SOM Faculty Professionalism

Consult and collaborate with Vice Dean for Faculty to manage highly sensitive faculty issues, including violations of professional standards, retirement agreements and professional and career advice. Review confidential and privileged documentation and communication. Prepare drafts for review by representatives from Legal Counsel and the Senior Associate Dean. Maintain database of current and completed faculty professionalism cases. Follow up with departmental leadership on behalf of the Vice Dean on these issues and provide institutional resources and guidance. Work with University offices including Staff & Labor Relations, the Office for Institutional Equity (OIE), Duke Office of Scientific Integrity (DOSI), and the Office of Audits, Risk and Compliance (OARC) to facilitate clear and up to date communication about faculty professionalism cases. Develop process documents and guidance documents for the management of professionalism concerns Represent Vice Dean for Faculty in meetings as necessary

Human Resources Manager for Office for Faculty

Supervise a growing staff in the Office for Faculty. Responsible for hiring and termination decisions; performance evaluations; addressing confidential personnel matters in sensitive and supportive way; mentoring staff in a way that promotes professional growth and positive impact on the entire team; leading staff meetings and serving as a resource for staff; Oversee and adjust office workflow and workload to maximize efficiency and employee satisfaction. Make recommendations to Vice Dean for how to staff new projects and oversee these transitions. Identify potential problems with staff and proactively resolve them. Serve as a HR resource for faculty partners in the Office for Faculty including Associate Vice Dean for Faculty Development, Associate Dean for APT, Associate Dean for Mentor Training; provide strategic advice that is consistent with the goals of the SOM and our office. Advise faculty about personnel, financial decisions and new projects, goal setting and effectively communicating with leadership in the School of Medicine. Provide oversight and support for staff onboarding, training compliance, leaves of absence, payroll processes, annual salary setting, and compliance with the flu and COVID vaccination policies.

Finance and Budget Oversight

Coordinate and oversee the annual budget process for the Office for Faculty Draft and manage operating budget of 1 million dollars. Serve as primary liaison to and primary point of contact for all budget- related communication with the School of Medicine (Deans Office). Oversee approval process for all office financial transactions. Maintain confidential salary information and effort distribution for faculty partners and staff. Make recommendations for potential changes based on workload and within SOM guidelines. Communicate regularly with other areas of the institution (Duke Health, SOM Departments and Grant Managers) about salary information and updates.

Required Qualifications at this Level

Education/Training

Work requires a bachelor degree.

Experience

Work requires a minimum of eight years progressively responsible experience.

A Master's degree may substitute for two years of required experience.
