Occupational Summary

Create and sustain dynamic shopping environment for students, staff, faculty, patients, web customers and visitors that is characterized by outstanding service, innovation and a diverse array of offerings. Oversee operations related to textbooks, vending, office products and computer supply and repair services. Provide vision and strategic direction for a complex Stores operation, with locations across the University and Duke Hospital, with annual revenue in excess of $40 million. Provide leadership and guidance to the diverse and multi- faceted Stores staff, temporary staff and student workers. Oversee budget development and fiscal management, POS support and administration, vendor contracts, compliance with applicable regulations. Plan and implement assessment of programs and operations for continuous improvement. Develop collaborate relationships with stakeholders. Present and promote excellence at every level of the organization.

Work Performed

Collaborate with the Associate Vice President, Budgets & Central Business Operations in defining and implementing the vision and strategic plan for Duke Stores.

Develop strategic plans that include financial targets, process improvements and critical analysis.

Manage and lead Stores staff, setting performance standards and expectations and providing ongoing feedback and regular performance evaluations.

Provide leadership and guidance that emphasizes collaboration and communication across all levels. Meet individually with all full-time staff on an annual basis.

Create an environment which values staff development through Stores created training, Duke created training and support of educational advancement.

Develop and maintain appropriate communications with Stores stakeholders throughout campus and the health system.

Oversee contract management processes including regular reviews to ensure compliance and contracts that are in the best interest of Duke University.

Work with Procurement Services to plan and schedule bids and contact renewals ensuring that contract process follows University guidelines and that contracts are negotiated and implemented in a timely manner.

Monitor performance and collaborate with vendors to ensure performance in accordance with contract terms.

Oversee Point of Sale system and administration of Stores Inventory Management System.

Develop overall Stores budget and provide fiscal leadership and oversight ensuring that Duke Stores meets or exceeds yearly budget targets in expenses, revenues and inventory levels/turns.

Develop both short and long range plans based on industry best practices to continually evaluate and update key components of budget management such as retail pricing, markdowns, inventory turns, staffing levels, sales, service rates and marketing.

Monitor monthly financial reports to ensure financial goals are achieved. Communicate regularly with AVP, Budgets & Central Business Operations on variances and financial issues.

Evaluate feasibility of ongoing operations and develop recommendations and plans, as needed, for closure of units and related distribution of workload/effort.

In conjunction with the AVP, Budget & Central Business Operations evaluate feasibility of new and proposed operations and product lines.

Ensure compliance with all Licensing requirements, OSHA, PCI and university policies and procedures.

Oversee compliance training for staff and vendors.

Understand and ensure compliance with the bargaining unit contracts.

Provide inspiration, direction and creative marketing of Duke Stores.

Remain abreast of new concepts, practices, trends and issues in the retail industry and in institutions of higher education.

Direct various personnel functions including, but not limited to, hiring, promotions, transfers and time-off schedules.

Required Qualifications at this Level

Education/Training

Requires a Bachelor's degree in Business or related field.

Experience

Requires a minimum seven (7) years of progressive management experience in a high-volume, multi-unit environment.
