Occupational Summary
The Assistant Director for Facilities Management is a dynamic leadership role responsible for overseeing various operational areas within the Facilities Management Department. This position plays a crucial role in ensuring the efficient and effective delivery of facility and utility services to support the Duke campus community, encompassing academic, research, student support, office, healthcare, and parking facilities. The Assistant Director will collaborate closely with the department's leadership team, manage unit supervisors and employees, and actively contribute to the development and execution of departmental and unit strategic initiatives.
Work Performed
Provide leadership and oversight to the Facilities Management Department teams responsible for various operational and functional areas.
Collaborate with unit Directors to align departmental goals with university objectives.
Ensure the seamless operation of facility maintenance, repair, construction, utilities, and environmental support services.
Identify opportunities for continuous quality improvement in facilities management service areas and initiate improvements.
Manage unit supervisors and employees, fostering a positive work environment and promoting professional growth.
Address personnel issues, including hiring, coaching, discipline, and matters related to union contracts.
Identify skills gaps within staff, provide coaching and guidance, and participate in the annual performance appraisal process.
Promote professional development opportunities and lead ongoing training programs.
Assist with the development and implementation of the Facilities Management Safety Program and be a champion of safe work practices and safe workplace for their team
Identify and mitigate work hazards, establish safety procedures, and ensure staff compliance with safety protocols.
Ensure adherence to University regulations, OSHA health and safety requirements, and other relevant guidelines.
Participate in the analysis and definition of budgets and plans, both long and short term.
Monitor team budgets on a monthly basis and be able to explain variances
Build and maintain strong working relationships with collective bargaining units where applicable.
Act as a representative of the department to Facilities Management customers and gather one-on-one feedback to assess unit performance against expectations.
Develop, recommend, and implement strategies and programs to enhance operational efficiency and performance.
Ensure that facilities meet University regulations and maintain a high standard of excellence.
Regularly evaluate work output for quality, efficiency, and timeliness.
Prepare comprehensive reports on the progress of activities within each operational area, ensuring transparency and accountability.
Perform other related duties as assigned by the department leadership.
Required Qualifications at this Level
Education/Training
Requires a Bachelor's degree in Engineering or a Facilities Management related field.
Experience
Requires ten years experience in Facilities Management or related field including progressive leadership experience.
Experience in a higher education or similar setting or preferred.
