Occupational Summary
Leads the Financial Aid Office in providing excellent customer service to prospective students, applicants, and current students' financial aid support activities. Has primary responsibility for developing and implementing a comprehensive plan to ensure scholarships and financial aid programs attract top students by being competitive with other top schools, and remain compliant with all applicable regulations, laws, and Duke policies.
Work Performed
Represents the school on all matters of financial aid with University, and other external groups and individuals.
Present information, discuss issues, and answer questions related to financial aid policies (federal and institutional) and regulations.
Prepares annual operating reports; discuss progress, adverse trends and appropriate recommendations with Administration.
Prepare and submit various surveys and reports required by various state, private, and federal agencies.
Develops customized communication strategies for student financial aid information, utilizing system functionality.
Monitors the audit queries designed to detect errors in or problems with the awarding process.
Takes corrective actions as appropriate.
Establishes and manages aid packaging plans.
Develop and evaluate significant school based scholarship programs.
Coordinates with admissions committee chairs and academic leadership to identify program nominees and award the scholarship.
Manage all communications with faculty, student nominees, and the University Scholars office.
Manages institutional military and veteran funding, working closely with the Business Office, Office of Admissions and Student Services, and University Registrars office.
Formulate and implement institutional policy with respect to needs analysis.
Develop methodology that balances the needs of the students and the schools budget.
Work closely with the Budget Analyst, and Business Office as needed, to coordinate the financial management of all scholarship funds.
Sets financial aid goals and objectives for the school, including all aspects of financial aid awards and related reporting.
Designs and evaluates work processes, cross training of staff, and electronic and paper record management, including information systems and data bases, for FAO activities.
Fosters role development, work plans and assignments, and interactions that achieve desired outcomes including a highly customer centered service focus.
Supervises and evaluates financial aid service representatives performance to achieve these goals.
Recommend various personnel actions including hiring, performance appraisals, supervising, promotions, transfers, and vacation schedules.
Oversees and responsible for compliance with all federal, state, and University and regulations as they apply to all aspects of the administration of financial aid.
Primary liaison with University offices, including Undergraduate Financial Aid leadership, Bursars office, Student loan office, and SISS office with regards to all FAO activities.
Coordinates FAO activities with the leadership and staff of the Office of Admissions and Student Services, to ensure the financial aid functions meet community standards and supports the student recruitment and admissions processes and goals.
Implements an academic year calendar that guides the work of the FAO including dates related to admissions, financial aid, status reports and other critical work.
Perform other related duties incidental to the work described herein.
Required Qualifications at this Level
Education/Training
Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work requires five years of experience in administering student financial aid programs at a college, university, or private school.
