Occupational Summary

Position will provide strategic oversight and coordination of the School of Medicines equity, diversity and inclusion strategic plan as well as initiatives and special projects managed by the Vice Dean for Diversity, Equity and Inclusion (VDDEI). Reporting directly to the VDDEI, the EOM serves as a key member of the executive team and will be responsible for the coordination of activities (operations and planning) of the VDDEIs office. Will collaborate and facilitate connections across School, University and Health System offices to align strategic EDI efforts and ensure that SOM priorities are effectively communicated and integrated across the enterprise.

Work Performed

Working with the VDDEI and team as well as School leaders, coordinate and monitor the implementation of the Schools Dismantling Racism and EDI strategic plan as well as initiatives and special projects managed by the VDDEI. Convene working groups charged with further development of strategies, provide support and advice to achieve their goals, monitor progress, and manage appropriate communication regarding status of plans to School, University and Duke Health leadership. Demonstrate the courage to challenge the norm, question the direction, and recommend innovative solutions. Establish oneself as a credible representative of the office of the VDDEI, both internally and externally, and represent the VDDEI at meetings with or on behalf of the senior leader and associated team, as appropriate. Develop and enhance processes to monitor and ensure timely implementation of key plans and initiatives, including progress and outcomes reporting, to facilitate alignment and focus in EDI efforts coordinating with the Director of EDI Assessment and Research. Facilitate the integration of the strategic plans goals and priorities across units and functional levels of the organization by translating key initiatives and consulting with Department, Center/Institute, and Administration leaders.

Facilitate communication and work closely with EDI leadership and associated teams across the School, University and Duke Health System, including but not limited to the Office for Institutional Equity, Office for Faculty Advancement, IDEALS Office (Johnna Frierson), Clinical translational Science Institute (CTSI), and School of Nursing (SON). Develop complex communications, communications plans, and communication programming to support the SOM EDI strategic plans and updates. Internal communications - Prepare agendas and collect, prepare and distribute briefing materials. Work closely with other EDI leaders and management teams across the SOM and Duke University Health System (DUHS) and University. Conduct research on a diverse array of topics in EDI in academic medicine and health to prepare briefs, presentations, meeting agendas, conference materials, speeches and documents as well as performing analysis in support of key deliverables. Remain knowledgeable of upcoming projects, commitments and deliverables in order to anticipate the necessary needs, tasks, work effort, and resources required to meet/exceed expectations.

Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed. Develop and maintain the VDDEI operational budget and in conjunction with the direct reports of the VDDEI develop and oversee budget portfolio in coordination with Business Manager.

Hire, manage performance and supervise staff as necessary. Collaborate with administrative support staff to ensure accuracy, coordination and that priorities are aligned. Meet frequently with the VDDEI to keep abreast of key developments and ensure synchronization of expectations.

Required Qualifications at this Level

Education/Training

Bachelor degree required; graduate degree in business administration, health administration, public health, or health related field preferred.

Experience

Minimum of 10 years of management experience required, preferably in a highly complex, matrixed organization such as an academic medical center, medical school teaching hospital, or research university.

Skills

Exceptional interpersonal and relationship building skills and strong managerial capabilities. Ability to effectively interact and influence at the most senior levels of the organization and work collaboratively across functions, levels, and departments towards shared objectives.

Superior communications skills - verbal and written, able to accurately simulate and represent the VDDEI communication style.

Ability to research a diverse arrangement of topics and distill key messages in preparation for presentations, briefs, materials, speeches, etc.

Expert at developing PowerPoint presentations a must; skilled at developing Prezi presentations also preferred.

Ability to work cooperatively and strategically in a team environment with all levels of professional, technical, administrative staff and to integrate resources on a timely and organized basis.

Sound management skills, ability to think strategically while balancing several complex agendas.

Strong time management and organizational skills.
