Occupational Summary

Provide administrative support to the Dean of the School of Public Policy to include managing and coordinating financial development, the speakers and lecturers programs, publications and special conferences to ensure fulfillment of the Institute's objectives.

Work Performed

Coordinate and participate in meetings with faculty members to determine objectives of the Schools special programs and activities and to identify internal and external resources available to meet those objectives.

Prepare applications for grants and contracts to include development of budgets; departmental grants and contracts in accordance with University policies and sponsors requirements regarding records, reports, controls and conditions governing expenditures of funds.

Prepare budgetary recommendations for the Director for fiscal year requirements; monitor, verify and reconcile expenditure of budgeted funds.

Coordinate arrangements for speakers programs to include inviting appropriate speakers, arranging schedules and facilities, ensuring publicity and necessary financial arrangements.

Prepare brochures, bulletins and other publications to describe the Institutes academic goals and programs, conferences and special speakers programs; publish departmental newsletter to include compiling news and educational articles of local interest; write and edit text and coordinate printing and mailing.

Coordinate the compilation of and prepare operational and financial reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions.

Correspond with interested students and other universities to provide information concerning the programs, policies and procedures of the Institute.

Plan and schedule work for the clerical staff, ensuring proper distribution of assignments and adequate manning, space and facilities for subsequent performance of duties.

Manage various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers and vacation schedules.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires knowledge of accounting and business matters as well as analytical, organizational and communications skills generally acquired through a bachelor's degree in business, accounting or a related field.

Experience

Work requires six years of experience in an administrative and/or business setting to become familiar with programs and activities involved in operational budgets and organizational and business matters and to acquire skills necessary to implement and coordinate administrative programs. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
