Occupational Summary

Assist the head of a small department or division in the management of departmental or divisional finances and grants and the administration of programs, policies, and procedures.

Work Performed

Prepare and maintain departmental or divisional budgets, providing the department or division head with regular assessments of financial strengths, weaknesses and potential problems or concerns; coordinate budget and account adjustments as necessary to avoid overdrafts and unexpected variances. Interpret departmental and divisional policies and procedures, making decisions on specific operating problems and issuing instructions in the name of the department or division head.

Prepare and/or review federal and private grant applications, ensuring compliance with University and sponsoring agency policies and procedures; monitor and review grant expenses to ensure that costs are changed accurately and appropriately; ensure that grants are set up, transferred, and closed out correctly. Manage departmental or divisional programs, such as outreach and fellowship training programs, informing appropriate staff members of program status.

Coordinate departmental or divisional personnel activities, including, but not limited to, interpreting departmental and University policies and procedures, managing recruitment, placement, and termination, assisting with the resolution of complaints, and coordinating performance appraisal. Compile reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions.

Recommend various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers and vacation schedules; supervise the work of designated employees, reviewing completed work for adherence to instructions or correctness.

Perform other related duties incidental to the work described herein. Required Qualifications at this Level

Education/Training

Work requires a general educational background normally equivalent to a full high school education plus two years post secondary education in a business related field.

Experience

Work requires 3 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.
