Occupational Summary
Provide overall administrative, financial, and operations management of various business related functions including finance, budget, personnel, space and facilities planning, grant administration, academic support and policy interpretation and dissemination as the highest level business management administrator within a department of considerable size, scope and complexity.
Work Performed
Work collaboratively as a member of the OUE Senior Management Team (SMT) to develop and support the OUE's strategic priorities, discuss and determine optimal ways to execute strategy, and make operational policies and decisions;
Provide vision and executive leadership for division and divisional units in alignment with institutional missions and goals;
Provide leadership for fiscal management, assessment of programs and services, and activities that enhance our commitment to anti-racism and building a culture of equity and inclusion;
Support cross-divisional and cross-campus collaboration;
Represent OUE to campus and external partners (committees, task forces, development visits, university boards, stakeholder meetings, etc.) as needed.
In close collaboration with relevant campus partners, shepherd planning, launch, and implementation of key undergraduate-wide strategic initiatives.
Articulate clear operational and programmatic goals that align with Duke's missions and values and outline strategies to achieve them;create cross-functional implementation teams for these strategies; establish clear implementation timelines and influence their timely execution. Keep VPUE, key leaders, and other partners apprisedof progress and key decision points.
Provide leadership support to the Board of Trustees' (BOT) Undergraduate Education Committee, managing the processes, timeline, and content of the annual work plan and committee meetings. represent committee leadership as necessary.
Work closely with the VPUE tocreate and execute strategies for effective committee and meeting leadership and management--for university-wide committees and working groups chaired by the VPUE.
The Chief of Staff (COS) coordinates functions and activities of the OUE office including supervision of the OUE communication, finance, and central office teams, as well as tracking action items for Senior Management Team and Senior Leaders.
Supervise VPUE's administrative staff to facilitate smooth and efficient scheduling and meeting; to ensure that VPUE's schedule and time commitments match their priorities; and ensures the preparation of relevant documents and briefing materials.
The COS may manage and advise the VPUE and her staff on day-to-day operations, ensuring efficiency and effectiveness and optimizing the use of available resources.
The COS may represent the VPUE in selected internal and external interactions with staff,students, and committees.
Provide oversight, management, as well as editorial and strategic direction for OUE communications. Manage the communications team, ensuring timely, effective, and professional execution and transmission of necessary materials:
VPUE Executive Communications: drafting and executing newsletters, memos, talking points, and slide decks for various internal and external audiences.
BOT's Undergraduate Education Committee communications: drafting agendas; developing and organizing reading materials; ensuring effective and timely communication among committee leadership, members, and the Secretary's office; coordinating external panels and speakers; drafting meeting minutes; and preparing reports.
OUE Communications: Provide oversight anddirection for OUE digital, print, media, and engagement efforts, for internal and external audiences. Provide strategic direction to central communications staff and OUE Communications group. Ensure divisional initiatives and offerings are promoted effectively.
Support anti-racist initiatives.
Strategic Initiatives Communications: devise, execute, and manage comprehensive communications, marketing, and engagement plans for key undergraduate-experience strategic initiatives. This work includes building cross-university teams; devising integrated strategies for marketing, reporting, and positioning; managing project timelines and information flow; creating content; managing externalvendors; and overseeing editorial decisions.
Provide high-level, strategic oversight and guidance to the OUE's Assistant Vice Provost for Finance and Administration.
Ensure that staff design, implement, and oversee accurate, effective, efficient, and compliant financial, HR, and administrative processes and reporting.
Oversee the design, organization, and implementation of the OUE HR's anti-racists initiatives.
Required Qualifications at this Level
Education/Training
Master's degree is required. PhD strongly preferred.
Experience
Ten years in higher education administration and program development; previous supervisory experience; prior experience managing budgets.
