Occupational Summary

Provide administrative support to the Dean in his role of managing the faculty and exempt staff at the Fuqua School of Business (FSB).

Work Performed

Assist the Dean in the preparation of annual salary budgets for faculty and staff employees in the FSB, including assistance in planning faculty and staff growth within financial constraints.

Manage records and controls on supplementary payments to faculty and staff and on faculty appointments to provide and ensure proper renewal of contracts; manage the maintenance of faculty teaching and research workloads and other personnel related data, providing information to the Dean as applicable.

Maintain and interpret FSB and Duke University policies, procedures and regulations related to hiring, promotion and tenure, benefits and other related matters, including maintenance and distribution of faculty handbook; interpret and ensure compliance with EEOC regulations and related University policies as they affect faculty and staff employees.

Manage the hiring process for FSB faculty and staff employees to include creating and implementing new positions, advertising and recruiting, screening applications, serving on search committees, interviewing prospective candidates, preparing offer letters and assisting new employees in all aspects of relocation; provide visa assistance to foreign employees in the FSB; maintain liaison with the International Office, and process documents regarding visa applications.

Maintain liaison with University Human Resources offices, the Provosts office and other appropriate University offices to coordinate all matters relating to faculty and staff employees; provide counseling and assistance to faculty and staff employees at the FSB regarding terminations, retirement, transfers, leaves of absence, sabbaticals and other personnel issues; review classification requests within the FSB; work with supervisors to classify, define and describe positions; recommend actions to be taken; authorize financial/budgetary/personnel documents for FSB.

Respond to personnel related problems directed to the Deans office by initiating appropriate action and/or referral and follow up to ensure resolution; coordinate implementation of decisions made by the Dean with various FSB departments; discuss and resolve sensitive issues; inform the Dean of significant problems.

Study various reports and records received by the Dean; prepare reports and summaries for the Dean, the Provost and external constituents as appropriate, particularly related to faculty status and faculty and staff salaries.

Supervise office activities of the academic programs area of the Deans office, reviewing completed work for correctness and adherence to instructions.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires organizational, analytical and communications skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires five years of experience in an administrative, business, human resources or related setting to become familiar with policies and procedures related to faculty and staff personnel issues and acquire skills necessary to manage the personnel related activities of a major department or division and provide related administrative support. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
