Occupational Summary

Provide overall administrative management and coordination for clinical department, large center, or institutes. Business related functions including finance, budget, personnel, space and facilities planning, grant administration and policy interpretation in the School of Medicine.

Work Performed

Provide administrative direction and coordination in the formulation, interpretation and administration of current and long-range policies, procedures and programs within the School of Medicine.

Plan budget needs by analyzing plans on a short- and long-term basis to include projecting possible levels of support from multiple sources of funding.

Determine fiscal requirements, make projections and prepare budgets; monitor, verify and reconcile expenditure of budgeted funds; prepare financial statements reflecting status of programs and activities; ensure compliance with all relevant policies and procedures.

Establish schedules, task assignments manpower allocation, space and equipment to ensure conformance with commitments, goals and objectives.

Maintain liaison with all level of administration, faculty and outside organizations to coordinate business, accomplish directives and facilitate the resolution of problems.

Coordinate the compilation and preparation of operational and financial reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions.

Direct and supervise staff; manage personnel activities; provide advice and recommendations.

Assist in planning and coordination of construction, relocation and maintenance activities.

Represent departmental chair/leader in meetings, conferences and other affairs of an administrative nature.

Perform other duties as assigned.

Required Qualifications at this Level

Education/Training

Bachelor's degree in business, finance, accounting, or related field required. Master's degree in related field highly preferred.

Experience

Ten or more years of experience managing administration and financial operations, preferably in a healthcare or medical research related organization. Experience with financial control systems, grants and contracts management, information systems, and all financial aspects relating to complex academic medical research systems preferred.
