Occupational Summary
The Associate Dean for Performance Improvement and Project Management is a senior administrative staff position reporting jointly to the Executive Vice Dean for Administration (EVDA) in the School of Medicine (SOM), The Executive Vice Dean for Clinical Sciences & Research Administration (EVD-CS) and the Executive Vice Dean for Basic & Preclinical Sciences (EVD-BS). This will serve as an internal consulting position that will provide project management for strategic operational initiatives to drive improvement efforts across the SOM.
This position cuts across all SOM departments and centers. In addition, this role will partner with clinical departments on improvement initiatives that interface with the Duke Health Integrated Practice (DHIP). The Associate Dean will also focus on strategic operational projects that improve administrative and academic areas that are not related to the DHIP.
Work Performed
identify the correct design and approach for initiatives.
Partners with leadership in analysis of processes across the organization, identifies gaps in the process, determines impact to the organization, recommends and coaches action plans and timeline to address issues.
Independently facilitates continuous improvement teams, follows up on action plans, and assists all assigned teams as needed to ensure improvements are made and sustained.
Builds relationships with leaders and stakeholders to manage effective processes and programs to reduce waste and ensure compliance according to established standards and measures.
Tracks all changes/improvements made. Monitors key metrics through development of SOM performance dashboards to review past, current and future performance of processes.
Acts as a change agent in a fast paced and ever changing environment leveraging strong interpersonal skills.
Reviews process, system or other changes that might impact existing workflows and recommends methods to optimize to desired state and improve efficiency. Review system or process architecture in scope of assigned projects.
Create, optimize and support implementation of processes which link closely to system workflows. Determine how these workflows will impact existing staffing, how to continuously refresh and monitor these flows and recommend optimal change management processes.
Communicate information clearly and create an environment where people can engage in open dialogue and reach effective solutions together to optimize workflow or process.
Direct cross-functional teams to resolve complex issues related to automated workflows or other complex processes or lead discussions with the business and operational leaders to analyze reporting needs, configure and model data and develop reports using specialized knowledge of reporting applications and software applications.
Serve as project manager on strategic initiatives by defining project scope, goals, and deliverables, and creating and managing a comprehensive plan with timelines and resources. Monitor project progress and budget, identify potential risks or issues that may compromise project team performance, and problem solve to remove or mitigate.
Determine opportunities for efficiency through system enhancements, new technology, and use of AI tools.
Required Qualifications at this Level
Education/Training
Bachelor degree required.
Masters or CPA preferred.
Experience
Ten years of experience in management and/or operations in academic medicine.
Experience in project management and process improvement required.
