Occupational Summary
Prospect Management and/or Prospect Research are functions within Prospect Development operations at Duke Health Development and Alumni Affairs (DHDAA) or Duke University Alumni Engagement and Development (AED), that provide data insights by analyzing and disseminating information to direct and inform solicitation and engagement strategies for prospective donors for the purpose of building meaningful donor relationships and strong philanthropic connections to Duke University and/or Duke Health System. The Director of Prospect Management and the Director of Prospect Research oversee distinct teams focused on specific responsibilities within prospect development. The Directors of these teams report to senior leadership in the department and partner closely with development leaders across campus and the health enterprise to develop consistent and effective processes tailored to DHDAA's/AED's alumni engagement and fundraising efforts.
Work Performed
Establish and execute a vision and strategic goals within the Prospect Development operation, including designing and implementing process, products, and tools to meet the needs of the DHDAA's/AED's fundraising community.
Responsible for effective staff management, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment. Motivate the best performance of the team overall, including recognition of effective work output, providing guidance as needed, fostering professional development and training, and coaching on all aspects of the work.
Serve on the Executive Director's leadership team, setting overall strategy and designing and implementing training, prospect development guidelines and policies in order to increase the effectiveness of Prospect Development and in meeting the strategic alumni engagement and development needs of DHDAA/AED.
Establish strategic annual goals for the team and individuals to align with the business needs of DHDAA/AED.
Manage large, complex prospecting projects that require negotiating competing priorities of various departments within DHDAA/AED.
Partner with University colleagues to develop and implement university- wide processes and policies as it relates to DHDAA's/AED's Prospect Management and Research needs.
Implement effective productivity measurements that support strong partnerships with fundraisers and the timely delivery of quality products and services that support the needs of fundraisers.
Ensure all members of the team are thoroughly trained on the skills, techniques, practices, systems, policies, procedures, and resources utilized within the team, and that members are fully cross-trained.
Manage a catalog of subscriptions and resources utilized within the team. Advocate for new tools as needed, and oversee associated budgets.
Manage peripheral systems used to support DHDAA's grateful patient fundraising operation.
Partner with fundraising leaders to determine long-term and annual priorities for prospect management and/or research.
Lead projects aimed at expanding and refining the prospect pool, including working with vendors, overseeing robust screening program, and other key projects.
Direct, develop, and implement strategies to create robust prospect identification processes for strategic initiatives and fundraising priorities.
Create flexible tools, products, processes to be as responsive as possible to the research needs of fundraising partners.
Set standards for quality control and oversight of prospect research deliverables and projects.
In collaboration with fundraising leaders develop, implement, and maintain a comprehensive prospect management program that provides organization-wide transparency, consistency, coordination, and collaboration of fundraiser engagement and solicitation activities.
Maintain and update the DHDAA/AED Prospect Management Policy as necessary.
Collaborate with fundraising leaders to ensure frontline fundraisers are adhering to prospect management protocols. Create and maintain training programs for frontline fundraisers in prospect management processes. Build and maintain strong partnerships with frontline fundraisers.
Develop, implement, and maintain robust portfolio optimization processes in collaboration with fundraising leadership.
Identify and support partnerships between individual fundraisers, schools, units, and programs to foster collaboration. Facilitate strategic meetings with fundraisers working collaboratively on new and existing initiatives.
Required Qualifications at this Level
Education/Training
Bachelor's degree required. Masters or professional degree preferred.
Experience
Minimum of five years experience in prospect research and prospect management. Minimum of three years supervisory experience required.
