Occupational Summary

Supervise and oversee the sponsored research expedited billing, award maintenance and invoice delivery functions.

Work Performed

Provide guidance to the sponsored research expedited billing, award maintenance and invoice delivery functions in carrying out their daily activities and responsibilities.

Analyze sponsored research expedited billing and collaborate with constituents to document processes and issues related to the expedited billing function.

Ensure timely billing of sponsored research expedited invoices; ensure expedited invoices to sponsor contacts are delivered correctly and timely.

Create, run, review, and analyze queries and reports to oversee expedited billing, invoice distribution and award maintenance.

Provide analytical reports and/or analysis to senior management as needed, identifying any patterns or discrepancies.

Develop and manage relationships with University business partners including the Offices of Sponsored Programs, Research Administration, and Research Support, departments, and management centers.

Coordinate and communicate with sponsors to facilitate continuous improvements to invoicing procedures and with the research administration community to identify and mitigate contractual issues impacting billing or invoicing.

Monitor, track, and report on operating metrics underpinning the performance of the Universitys expedited billing, award maintenance and invoice delivery functions.

Monitor and document expedited invoicing and award maintenance problems and questions identified by customers.

Coordinate technology updates with the systems support group.

Provide reports and analyses depicting progress, adverse trends, and develop appropriate recommendations or conclusions, as necessary.

Develop and ensure achievement of annual departmental goals designed to enhance the departments support to the Duke community.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires a Bachelor's degree in Accounting, Finance, Business Administration or a related field. Professional certification in accounting (e.g. CPA) required.

Experience

Work requires ten years of experience in an accounting office to become knowledgeable of accepted accounting and accounts receivable practices involved in managing and processing accurate and timely billing to University sponsors while ensuring compliance with federal and state regulations.
