Provides senior operational and project management leadership to the assigned Community for core activities including development and implementation of the strategic plan; convening stakeholders; monitoring and measuring the success of the Community's activities; and developing reports for the CTSI Executive Steering Committee and Board. Oversees portfolio/project management, communications, personnel, and financial management for the Community. Directs a variety of complex and independent activities involved in administrative oversight of the Community.
The Senior Staff Director is the operational partner to the Community's senior faculty Chair and Vice Chair. Incumbent will report to the CTSI Chief Administrative Officer with dotted lines to the respective Community Chair and Vice Chair.
Strategic Development/Program Management Collaborate with Community leadership to create, grow and sustain the Community to foster cross disciplinary collaboration in support of clinical and translational research through integration of programmatic research areas and resources across campus.
Provide operational leadership essential to the development and implementation of the Community strategic plan for long-term sustainability in alignment with the Duke Health Strategic Plan.
Facilitate the development and implementation of processes and communication to foster and sustain cross institutional collaboration in clinical and translational research while eliminating redundancy and duplication of effort and resources.
Collaborate with senior faculty leaders and Community members to develop and evaluate specific goals and objectives to actualize strategic plans.
Manage systems/processes to evaluate and maintain metrics on the Community's activities/programs.
Develop reports and analyses including appropriate recommendations or conclusions for presentation to the CTSI Executive Steering Committee and CTSI Board.
Develop and implement strategies for establishing a robust and active Community.
Develop and implement strategies for keeping stakeholders engaged including facilitating growth of community through identification and engagement of new members.
Manage the nomination and election process for Chairman and Vice Chairman. Assist in succession planning through identification of faculty interested in leadership roles.
Convene Community meetings and ensure communication of activities to all Community stakeholders.
Develop and maintain effective working relationships with peer Community Senior Staff Directors and CTSI leadership to ensure synergy and communications within and across Communities and the CTSI as a whole.
Develop and implement communication plans for Community to include internal and external stakeholder communication.
Develop and maintain effective working relationships across all sectors, internal and external to Duke; Serve as an Ambassador for the CTSI Community and overall CTSI.
Oversee and manage the portfolio and projects undertaken by the Community.
Collaborate and support faculty in development of research proposals and budgets for sponsored research awards.
Monitor the progress/performance of all Community projects to assure quality of provided services, timeliness of deliverables, compliance with regulatory requirements, and adherence to financial targets.
Keep abreast with emerging developments and trends through networking, participation in professional organizations and review of the literature.
EMPLOYEE MANAGEMENT AND DEVELOPMENT
Identify when new staff are needed, develop organizational structure, and manage staff.
Manage staff in accordance with the organization's policies and applicable regulations. Responsibilities include planning, assigning, and directing work, appraising performance and guiding professional development; rewarding and disciplining employees; addressing employee relations issues and resolving problems.
Obtain and provide regular feedback to employees from other team members and key stakeholders to assist in personal and professional development. Identify skill and competency gaps at the individual team member level and collaborate with employees to create development plans that will close the gaps.
Develop annual Community budget in collaboration with Community and CTSI leadership
Monitor Community budget including infrastructure and project expenditures. Ensure proper utilization of resources and adherence to targets. Develop strategies to meet budget expectations and streamline costs, as needed, for requested deliverables.
Required Qualifications at this Level
Bachelor's degree in a clinical, scientific or technical field applicable to clinical or translational research administration. Strongly prefer Master degree and/or post graduate training in clinical research, health policy, health administration, business or other related field.
Minimum eight years of progressively responsible experience in a project management, program management, administrative or operational capacity in an academic health center or clinical/translational research or health care delivery setting.
Strong administrative, organizational, planning, prioritization and project management skills and exceptional attention to detail
Proven track record in building credibility and strong relationships with a variety of stakeholders including faculty members/investigators, professional/technical staff and community members
Strong analytic and writing skills
Strong interpersonal, communication and presentation skills
Experience in budget preparation and monitoring of financial statements
Ability to exercises sound judgment in decisions
Knowledge and experience in business and management principles involved in strategic planning
