Occupational Summary

Manage and coordinate the process of faculty review programs; coordinate and administer restricted funds to ensure appropriate and effective utilization.

Work Performed

Organize and coordinate complex faculty review processes of the Appointments, Promotions and Tenure and the Distinguished Professorship Committees; direct the flow and sequence of candidates, including identification of special cases, and appropriate coordination/integration their scheduling; review and analyze content of materials received prior to circulating to committee members or inserting into dossiers.

Relay committee members' deliberations and/or concerns to the Provost; raise questions when standards appear to be diluted or challenged; interpreting policies for implementation in compliance with University policies as recommended by faculty governing bodies.

Ensure confidentiality of extremely sensitive faculty dossiers to protect the University from law suits related to faculty reviews; bring to University Counsel's attention potential liabilities resulting from negative recommendation following review for promotion or tenure; maintain continued integrity and physical security of review documents.

Interpret committee members' requirements and pose delicate questions to request appropriate reports from expert faculty at other institutions; initiate requests to deans and department chairs on behalf of Provost and both faculty review committees; respond to inquiries from deans and department chairs relative to candidates being reviewed by Appointment, Promotion and Tenure. Work closely with Assistant Provost to provide support for faculty and academic programs including, but not limited to, monitoring and administering restricted funds; coordinating annual proposal to The Duke Endowment and developing Capital Campaign endowments data base to provide information on endowment requirements, projected earnings and income distribution; interpret donor's wishes and apply endowment restrictions; notify appropriate offices of conflicts.

Compose complex correspondence for Provost's signature based on knowledge of subject matter; prepare reports and analyses setting forth progress, adverse trends, and appropriate recommendations or conclusions.

Recommend various personnel actions including, but not limited to hiring, performance appraisals, promotions and vacation schedules.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires organizational, analytical and communications skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires the ability to organize and coordinate complex, sensitive and confidential processes, programs and activities within the Provost's Office, generally acquired through six years of experience in academic administration, general business/program administration or a related field. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
