Occupational Summary

The Assistant Dean for Basic Science is a senior member of the Vice Dean for Basic Science's (VDBS) team, working closely with the Vice Dean to advance strategic goals and basic science operations within the Duke University School of Medicine. Functioning as chief of staff to the Vice Dean, the role includes supporting responsibilities for all areas of the VDBS's oversight, and has a primary responsibility to ensure continued operations of activities in these areas.

Work Performed

The Assistant Dean's areas of responsibility include operational advancement and implementation of new initiatives in the following areas:

Strategic planning for basic science areas.

Develop and implement oversight committees and reporting for focus areas.

Coordinate with appropriate leaders to ensure continued advancement of initiatives.

Liaise with departments, centers, and institutes on development and implementation of new initiatives related to research and graduate program education.

Work with the Dean and School of Medicine leadership to ensure continued progress on goals.

Provide ongoing management of initiatives and roadmap.

Animal program (including Animal Care and Use Committee, Office of Animal Welfare Assurance, and the Division of Laboratory Animal Research).

Research Integrity in Basic Sciences and Core Facilities.

Collaborate with the Vice Dean and Associate Vice Provost for Scientific Integrity to ensure highest standards of rigor and reproducibility within SOM's core facilities.

Liaise with basic science research groups to implement institutional solutions for data integrity including ELNs and data storage.

Basic science research initiatives.

Collaborate with the VDBS to develop operational plans for new basic science research initiatives.

Direct implementation of these plans.

Present progress and results to the Dean, Executive Vice Dean for Administration, and other stakeholders as appropriate.

Research core facilities (service centers).

Provide leadership and direction to the Office of Research Resources on oversight of core facilities.

Advise the VDBS on strategic planning of core facilities.

Convene and ensure efficient operations of an advisory committee for core facilities.

Implement action items of said committee.

Work with VDBS to identify future opportunities for core facilities.

Research space (wet lab) planning.

Convene and ensure efficient operations of an advisory committee to manage SOM space planning.

Collaborate with the Associate Dean, Space Planning and Research Resources to ensure efficient and effective space management of SOM space and for SOM faculty.

Recruitment and retention topics for basic science faculty.

Assist with recruitment and retention negotiations for basic science faculty.

Collaborate with appropriate stakeholders to ensure full agreement and institutional record of commitments in these areas.

Direct implementation of commitments based on such negotiations.

Financial oversight of VDBS funding.

Work closely with the SOM Finance Office and the Administrative Manager in the Office of the Executive Vice Dean for Administrative to ensure sound financial stewardship of all VDBS funding.

Strategically manage financial resources to ensure optimal use of funds. S/he may have day-to-day financial responsibility across the portfolio of the VDBS, while the VDBS will have ultimate oversight and responsibility.

The Assistant Dean for Basic Science will work closely with leaders in the above areas to provide continued support and oversight for the VDBS.

The Assistant Dean will also regularly present on VDBS activities to the Dean and Executive Vice Dean of the School of Medicine, and will assist the leadership team with the oversight and management of initiatives within the VDBS purview.

In addition, the Assistant Dean will have substantial delegated responsibilities from the VDBS.

S/he will be responsible for efficient and continued operations of activities within the VDBSs realm, and will serve as the backup point of contact for this office when the Vice Dean is unavailable.

Required Qualifications at this Level

Education/Training

Work requires a bachelor's degree, with a master's degree preferred.

Experience

Minimum of 6 years of relevant experience in administrative oversight. The preferred candidate will have experience working with interdepartmental units, financial management experience, and a deep institutional knowledge of institutional operations. Excellent interpersonal skills and attention to detail are essential for this position.
