Occupational Summary
The Duke Office of Physician Scientist Development (OPSD) provides services and programs to support physician scientists as they build robust research careers within the Duke School of Medicine and supports the development of physician scientist trainees and trainee pipelines. In addition to programs developed by OPSD under the direction of the Associate Dean of Physician Scientist Development and executive staff, the OPSD coordinates multiple programs and initiatives falling under several grants such as the Burroughs Welcome Fund Physician Scientists Institutional Award and two NIH R38 awards. Significant functions of the office include alignment and integration of departmental and institutional efforts across Duke and communication with national partners and colleagues to respond to the needs of the national physician scientist enterprise and funding climate. The Director, as an employee of Duke University School of Medicine, will provide senior- level oversight, management and coordination of OPSD operations and activities. The Director will assist the Associate Dean of Physician Scientist Development in developing and refining strategies to accomplish the mission of the OPSD and meet the goals of the School of Medicine regarding physician scientist development. Additionally, the Director will identify and implement the infrastructure necessary to support the successful execution of these strategies. The Director will orchestrate efforts to effectively leverage the participation of collaborating partners within the School of Medicine including department chairs, vice chairs of research, institutional offices and a variety of external stakeholders. This work includes fostering collaborations and promoting the reach and awareness of the OPSD. The Director will lead internal Duke staff working for OPSD related initiatives, and oversee project management functions to expedite the conduct and completion of OPSD and related grant projects. The Director will manage and report on OPSDs finances, and oversee efforts to identify and secure funding opportunities. This position is supported in part, and is dependent on, the continuation of grant funding.
Work Performed
Direction of OPSD infrastructure, staff and operations.
Responsible for defining the operational strategy of the OPSD and directing implementation of programs and services to meet the needs of the physician scientists and trainees of Duke School of Medicine, as well as the national programs and pipelines that will interact with the office.
Direct and manage OPSD staff, including making hiring decisions, performance and progress evaluation, career development and training, corrective actions, and oversight of day-to-day activities.
Evaluate effort requirements against projects, programs, and initiatives falling within the purview of the OPSD, assign duties accordingly.
Make recommendations to the Associate Dean, Faculty Director and PI's regarding staffing needs for a variety of programs, projects and initiatives within the OPSD and work to achieve sustainable funding to support staffing needs.
Direct and manage OPSD staff in the day-to-day operations of the OPSD including event scheduling and preparations, scheduling of concierge mentoring, preparation of materials, tracking of activities, preparing metrics reports.
Direct the creation and maintenance of operational plans and SOPs for initiatives, programs, and projects falling within the purview of the OPSD.
Engage stakeholders to define plans and set milestones.
Monitor progress toward milestones and adapt staffing and operational plans to achieve success.
Advise and coordinate with faculty leaders of individual initiatives and programs and communicate progress to leadership.
Oversee the development and implementation of an annual research symposium, including budgeting, identification and scheduling of speakers, travel preparation, venue identification and communications, catering, coordinator with contributing partners, preparation or materials, tracking of activities, and preparation of lessons learned documentation.
Establish Office and program metrics and advise faculty leading individual programs toward the establishment of effective logic models and metrics tracking systems.
Develop a tracking database to capture operational metrics.
Collaborate with BWF PSIA faculty leads in the development of a mentor/mentee tracking database.
Develop communication strategies for the OPSD to enhance awareness of programs and resources.
Collaborate with the School of Medicine Office of Communications and communicators network.
Direct office staff in the maintenance of the OPSD website and development and dissemination of newsletters and announcements, funding opportunities, and development of brochures and other promotional materials.
Develop new networks within and external to Duke that may lead to new programs and funding opportunities.
Strategy development and engagement with institutional, departmental, and national partners.
Regularly conduct needs assessments among the stakeholder community.
Identify and continuously engage key stakeholders who will be critical to the success of the OPSD.
Establish close communications and interactions with representatives of institutional collaborators such as the CTSI, department vice chairs of research, and other institutional offices.
Facilitate communications and gather needs on a regular basis.
Obtain updates and reports regarding the activities of the partnership.
Identify key support offices and resources, establish partnerships to enhance resources and support for physician scientists.
Coordinate operations of physician scientist training programs across institutional and departmental initiatives to enhance efficiencies.
Create and communicate SOPs, guidelines, and resources for physician scientist training programs across the School of Medicine.
Deliver grant assistance to departments and established PI's in obtaining funding for institutional training grant awards (e.g., R38s, K12, T32s).
Create templates and resources to support training grant development.
Match applicants with subject matter experts, and provide consultations to enhance Dukes portfolio of externally supported training programs for physician scientists.
Represent the Associate Dean, Faculty Director, and Duke School of Medicine by engaging external academic research institutions that have physician scientist training programs and mentorship programs.
Establish partnerships with programs and offices having similar missions and mechanisms for regular sharing of best practices.
Work with internal and external partners to disseminate lessons learned and best practices for physician scientist development via presentations and manuscripts.
Develop a strategic and sustainability plan for the OPSD.
Lead efforts to identify funding opportunities to sustain the office including through internal, national, foundation, association, and philanthropic agencies.
Create and regularly adapt a forward-thinking sustainability plan based on OPSD financial portfolio, project and initiative-based needs, growth opportunities, and funding opportunities.
Create and submit funding applications on behalf of the Associate Dean and Faculty Director.
Engage program officers and other key stakeholders to align Duke programmatic directions with funding agency goals.
Oversee the management of RFA's related to OPSD programs including pilot and seed funding programs for students, residents, fellows, and junior faculty.
Create the operational timelines and structure for nomination and awards processes and coordinate and create efficiencies.
Direct office staff and collaborating program coordinators and directors in carrying out and optimizing research funding-related processes.
Responsible for the oversight and financial management of the OPSD budget including all funds raised and expended in association with the OPSD and contributing grants.
Ensure appropriate stewardship of funds and compliance with the accounting procedures of Duke University.
Provide regular financial reports to the Associate Dean and Faculty Director.
Prepare management reports for OPSD and school leadership.
Oversee the maintenance and dissemination of external funding opportunity announcements for physician scientist trainees.
Create templates and resources to support individual trainee grant development (e.g., F32, K23).
Deliver grant assistance by providing consultations and delivering workshops and seminars on fellowship grant writing for trainees.
Match applicants with subject matter experts to increase trainee pursuit of individual research funding opportunities.
Required Qualifications at this Level
Education/Training
Requires Bachelor's degree in a life science or related field. Strongly prefer candidates with an advanced degree such as an MD, PhD, PharmD, MPH, MBA, etc.
Experience
Minimum of eight years of experience, with five in progressively responsible management roles in research and research administration including project and program management. Strongly prefer candidates with experience in program development, direction, and evaluation. Strongly prefer candidates with prior experience in basic and laboratory-based research and familiarity across the spectrum of basic, translational, and clinical research including research operations. Strongly prefer candidates with experience in manuscript and grant development. Other preferred experience: Proven leadership and management skills with the ability to execute with a sense of urgency and inspire both staff and volunteers. Strong skills in planning, prioritization, delegation and organizational development. Collegial, collaborative, and diplomatic interpersonal style and ability to implement inclusive approaches to foster consensus and engagement across diverse stakeholders and constituents.
