Occupational Summary

Provide administrative oversight, direction and coordination of operational budgets, financial planning, and organizational and business matters for schools, departments, programs and activities under the jurisdiction of the Provost.

Work Performed

Lead and coordinate budget preparation for schools and units under the jurisdiction of the Provost; coordinate preparation of materials for forecast; consult with departments on needs, challenges and limitations; prepare and distribute budget information to departments.

Represent the Provosts Office and the academic sector in major University task forces concerning financial and organizational management.

Work with unit administrative officers, directors and deans to ensure compliance with established budgets and operational plans; oversee analysis of variances and recommend solutions.

Work with financial leadership in the Provost office to help develop long range financial plans for units.

Work with Executive Vice Provost and others to implement Academic Strategic Plan; maintain records of monies spent and dedicated to strategic plan projects; monitor spending for various initiatives.

Collect, analyze and interpret financial data relating to the academic sector and the identification of corresponding policy implications and/or recommendations.

Lead and coordinate for the in year budget reporting process within the academic sector, including semi annual systematic reporting of in year variance analysis.

Monitor budgets within Provosts Office to include staff and biweekly salaries and non salary items; review and approve budgeted actions; analyze and prepare recommendations on non-budgeted actions.

Design, prepare and interpret periodic and ad hoc financial reports on the academic enterprise at Duke University; identify and prepare a variety of ad hoc management information reports for making policy decisions by and on behalf of the Provost; identify and implement special projects in support of the goals and responsibilities of the Provosts Office.

Review and analyze departmental organizational and operational responsibilities and needs; make recommendations to enhance efficiency and effectiveness of administrative support activities as appropriate.

Provide interface between the Provosts Office and appropriate University departments to facilitate and act on financial, administrative and personnel actions, resolve problems and ensure compliance with applicable University policies and procedures.

Supervise and mentor staff in the finance and administrative office; oversee coordination of office personnel and related responsibilities.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires knowledge of accounting principles and analytical skills generally acquired through a bachelors degree in Accounting, Business Administration or a directly related field.

Experience

Work generally requires at least ten years of experience in an accounting or budget review and analysis setting to acquire considerable knowledge of acceptable accounting and general business practices and the ability to monitor and analyze fiscal operations, budget preparation, financial forecasts and general business operations, and develop and maintain computer and analytical systems.
