Occupational Summary

Provide leadership and strategic vision to the operational needs of arts and production management for campus performances, programming and events. Ensure effective administration of all fiscal, personnel and operational procedures of the Rubenstein Arts Center, University Box Office and Information Services, Theatre Operations, and Technical Services.

Work Performed

Lead and monitor strategic planning for department.

Ensure services align with mission and are being provided through outstanding consultation and execution for technical operations and guest services.

Provide leadership and direction on the planning and development for the arts and production needs of campus events.

Lead the development of operating procedures, schedules, resource allocation and equipment to ensure objectives and policies are aligned.

Serve on groups and committees related to the mission and execution of campus arts and event management and collaborate with key Duke Arts stakeholders and leadership across campus to ensure a cohesive and thoughtful approach to the engagement in the arts at Duke for students, faculty and patrons and collaborate with campus partners on large scale University events.

Provide administrative direction by utilizing industry knowledge and best practices in the implementation and execution of the planned programs and events.

Analyze data and institute improvements relevant to resource utilization and business processes.

Oversee compliance and risk management policies and procedures related to inspection, safety, capacity management, fire codes, inventory control, cash management, ecommerce, insurance, minors policy, student policies and accessibility.

Analyze and make recommendations on reasonable and competitive recharge rates and structures for services provided.

Ensure overall and appropriate coordination among internal areas and external service departments.

Determine fiscal requirements and prepare budgetary recommendations.

Monitor expenditure of budgeted funds.

Identify and make recommendations for capital improvements by identifying major facility and equipment needs, monitoring technological changes in the industry, and prioritizing requests from unit directors and staff.

Negotiate agreements with outside special events service providers and subcontractors to ensure lowest cost and highest quality of service; negotiate annual agreement with Local 417 IATSE for union stagehand services.

Foster a collaborative and supportive infrastructure for arts, interdisciplinary and campus events that contribute to the student experience and campus culture.

Actively engage with students and student organizations on current needs and long term planning.

Represent the University and participate in industry conferences and meetings to effectively respond to needs and anticipate trends.

Provide ongoing support to the continued professional development and training for staff to maintain a robust knowledgebase.

Supervise and coordinate the work of designated employees to meet organizational objectives; recommend various personnel actions including, but not limited to, hiring, promotion, transfer, performance appraisal, and vacation schedules.

Recommend professional development opportunities and/or provide training and related resources for team members.

Perform related duties as assigned or required to meet department, division and University goals and objectives.

Required Qualifications at this Level

Education/Training

Requires communications, analytical, technical and organizational skills generally acquired through a bachelor's degree in Arts, Education, business or related field. Master's degree in a related field and prior college and university experience strongly preferred.

Experience

Seven years of progressively increasing responsibility in managing complex organizations and related business functions for arts, video and theatrical facilities and operations.
