Occupational Summary

This position helps develop and implement strategies, manage day-to-day decisions for regional programs, and develop the overall program. Supervises and coordinates the activity of regional alumni volunteers.

Work Performed

Supervise the activities of Assistant Director of Regional Programs staff members as well as program coordinator.

Provide guidance and leadership to these assistant directors in the implementation of their work in their assigned regions.

Train and mentor assistant directors to perform work as described within their specific job responsibilities.

Directly manage Duke Alumni activities in assigned regions by leading communication and interaction between the university community, alumni, parents and friends of Duke through organizational assistance, supervision, and coordination with local alumni in planning and conducting a variety of social, educational, and community service activities and events.

Plan and coordinate off-campus activities of the Duke Alumni Association, in particular (but not limited to) those relating to Regional Programs.

Facilitate and lead the recruiting, training, motivation and supervision of approximately 1000 volunteers in assigned regions who are necessary and vital participants in the implementation of the goals and activities of Duke Regional Programs.

Participate in developing and expanding Duke Regional Program goals, objectives and strategies. Assume the responsibility for assisting the Assistant Vice President in the implementation of stated goals, objectives and strategies.

Represent the University and/or Duke Regional Programs at required or appropriate functions and events around the world.

In the absence or unavailability of the Assistant Vice President, serve as the University representative and/or Regional Program representative at appropriate University functions, events, and committee meetings.

As required by the Assistant Vice President of Regional Programs, direct the coordination of alumni activities in conjunction with major national sports events; serve on the University Planning Committees; manage ticket sales and disbursement of funds for such events.

Supervise local Regional Program budgets and fund-raising activities. Assume responsibility for ensuring sound fiscal management in assigned regions as well as work with assigned assistant directors of regional engagement on their regional budgets.

Lend organizational assistance to Duke Alumni Association officers in planning programs, arranging for speakers and coordinating the preparation, publication and advance publicity mailings for these events.

Recommend areas for the establishment of new regional communities and/or regional programs and assist in the recruitment of members for both new and established regional communities.

Follow-up on all Duke Alumni Association activities and prepare and edit summary articles for publication.

Recommends various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers, and vacation schedules.

Performs other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires six years of experience in alumni affairs, public relations, program administration, marketing or related field to acquire the advanced skills necessary to direct the planning and coordination of social, educational, and community service activities and events.
