Occupational Summary

Assist with all aspects of leased space resources for Duke University (DU), Duke University Health System (DUHS), and Private Diagnostic Clinic (PDC).

Work Performed

Assist with management of the full spectrum of property assets related to leased space for all real estate within the DU, DUHS and PDC portfolio.

Portfolio includes over 3 million square feet of office, clinic, lab, warehouse space in over 200 leases.

Assist with the maintenance and reporting using a real estate web based software system (AMT).

Lease administration including document management, critical dates, insurance requirements and notices.

Assist with the reconciliation of annual operating expense costs, tracking of historical expenses.

Manage tenant receivable process (DU as landlord) including sublease payments, rent adjustments, late fees, and notices.

Preparation and review of financial statements monthly related to tenant income and property expenses.

Assist with management of condo associations including notices, meetings, budgets, review of annual expenses and assessment of dues.

Create and maintain budget guidelines for departments related to historical and estimate operating costs of real estate.

Position will assist with the following tasks: discussion of program requirements with administrators and department business managers; communication with real estate brokers to meet space needs/requirements; negotiation of terms and conditions of leases on Dukes behalf; preparation of lease agreements and coordination of review by legal counsel; discussion of changes and resolution of problems with leaseholders; representation of Duke groups in lease renewal negotiations.

Communicate with tenants and landlords concerning complaints or problems.

Maintain records and process forms and documents related to leased space as appropriate; maintain liaison between landlords and accounting regarding payments; communicate information regarding leased space and tenants to Plant Accounting, Public Safety and other departments as appropriate.

Analyze monthly financial statements to determine proper charging of operating revenues and expenditures in accordance with departmental procedures.

Prepare monthly income statements using standard report formats and provide interpretations of results; monitor and report on financial performance of individual departments and the division as a whole; recommend corrective actions based on analysis.

Assist management in forecasting by providing historical information. Work with departmental directors, unit managers and appropriate personnel to prepare annual budgets.

Assist in the preparation of the operational budget; review and analyze departmental budget requests.

Advise departments regarding changes in budgets to meet requirements. Assist with year end closing activities.

Make recommendations to improve financial systems; perform in house audits of operating units; analyze deficiencies and report to director.

Assist in formulating and refining short and long term financial goals for each department through consultation with departmental directors and administrative staff.

Develop annual and five year capital replacement analyses; monitor capital plans and advise of compliance or changes; recommend procurement of equipment and facilities instrumental to the performance of all operations.

Assist with development of new business proposals including budget preparations.

Perform other related duties incidental to the work described herein.

Provide information to various external agencies and professional organizations concerning fiscal operations.

Required Qualifications at this Level

Education/Training

Work requires a bachelor's degree

Experience

Minimum of 2 years of experience in commercial real estate.

Familiarity with commercial lease language including leases, operating expenses, financial statements, etc.

Experience with Excel, PowerPoint, Word, Adobe, web based real estate systems.

Experience in commercial property management and leasing, and a NC Broker License preferred.
