Occupational Summary

Design, plan and coordinate special fund raising activities aimed at donor cultivation and recognition as well as fund raising to include special events, assigned campaigns and special projects; coordinate fund raising efforts of volunteers.

Work Performed

Design, plan, coordinate and promote special fund raising events aimed at donor cultivation and recognition such as gala benefits, ceremonial dinners and luncheons and special receptions for donors and celebrities; represent Development Office in negotiations regarding arrangements for such events. Recruit speakers from faculty, administrators, alumni, parents or students; contact and confirm speaker participation; coordinate travel arrangements and accommodations as necessary; prepare agenda and coordinate remarks for speakers when appropriate; select event sites and coordinate logistical arrangements.

Maintain interface with administrators throughout Duke to coordinate participation in selected events; maintain liaison with other University offices and external individuals and organizations to coordinate necessary arrangements for programs and events.

Plan, coordinate and implement administrative support for volunteers involved with fund raising events; recruit and maintain liaison with volunteers to coordinate and assist them in their efforts; keep supervisor apprised of volunteer fund raising efforts and recommend changes as appropriate.

Compile and write biographical summaries of speakers, guests and other event participants. Review the design and graphics for formal and informal invitations; arrange for promotional materials; publicize special events, coordinating through the Duke News Service as appropriate; make presentations to civic and community groups. Coordinate special fund raising campaigns and initiatives as assigned; provide staff support in fund raising activities and in planning and implementing special events.

Determine fiscal requirements for events; monitor, verify and reconcile expenditure of budgeted funds.

Prepare reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions; participate in short and long range planning for programs.

Required Qualifications at this Level

Education/Training

Work requires communications, analytical and organizational skills generally acquired through completion of a Bachelor's degree program.

Experience

Work requires ability to design, plan and coordinate fund raising activities and special events generally acquired through two years of project coordination experience.
